Executive / Personal Assistant to CEO
We are seeking a highly organized and discreet Executive Assistant to provide comprehensive support to a CEO. This is a pivotal role requiring excellent judgment, attention to detail, and the ability to manage a broad range of responsibilities spanning personal, household, and administrative matters.
The successful candidate will serve as a trusted right hand—ensuring that day-to-day operations, logistics, and communication run seamlessly across both business and home life.
Key Responsibilities
Executive & Administrative Support
Provide direct assistance to the principals in managing personal and family priorities alongside professional obligations.
Coordinate calendars, appointments, and communications across multiple time zones.
Manage highly confidential correspondence, documentation, and renewals (e.g., passports, visas, insurance, memberships, notarizations).
Liaise with business associates, vendors, and service providers.
Household & Family Coordination
Oversee household operations including vendor management, recurring maintenance, and ad-hoc projects.
Track payments and expenses, ensuring timely settlements and proper record-keeping.
Coordinate with schools, healthcare providers, and other institutions, maintaining an organized and up-to-date family calendar.
Able to drive when requested, own vehicle not required.
Anticipate and proactively address household or family logistics before issues arise.
Travel & Event Management
Plan and execute international travel arrangements for the CEO and family, including accommodations, transportation, and detailed itineraries.
Handle travel documentation such as visa applications and renewals.
Support the organization of family and social events, from private gatherings to formal occasions.
General Liaison & Communication
Serve as a reliable point of contact between the family, household staff, and external parties.
Exercise discretion and professionalism in all communication and decision-making.
Ensure that priorities are clearly communicated and executed efficiently.
Key Attributes
Proven ability to handle confidential information with the utmost discretion.
Highly organized, proactive, and resourceful, with strong attention to detail.
Excellent communication, coordination, and follow-up skills.
Tech-savvy and comfortable managing schedules and documentation in digital environments (Google Workspace preferred).
Valid driver’s license in Singapore strongly preferred.
