Job description for Business Admin Intern at Kobi Lighting Studio

Contribute to kobi lighting studio’s smooth operations through efficient management of administrative and legal procedures within an international design environment. :)

In this role you will:

- Support the Company's day-to-day administrative, legal, operational and corporate activities.

- Assist Management in coordinating internal and external stakeholders, including employees, consultants, suppliers, authorities, Clients and business partners.

- Participate in legal and compliance-related matters, including contracts, corporate documentation, licenses, permits, work permit procedures, administrative filings and regulatory requirements.

- Support the preparation, review, adaptation and follow-up of contracts, agreements, legal notes and corporate documents.

- Participate in the identification, preparation and coordination of public and private tenders in Vietnam and overseas markets.

- Assist Management in legal, administrative and corporate matters related to the Company's development, operations and international activities.

- Support the preparation of reports, letters, minutes of meetings, internal communications and management documentation.

- Assist with the preparation, translation, review and coordination of documents in both Vietnamese and English.

- Act as a bridge between the Company and local Vietnamese stakeholders, helping facilitate communication, coordination and follow-up actions when required.

- Support recruitment activities, onboarding processes, HR administration and employee-related matters.

- Assist in supplier sourcing, coordination and relationship management.

- Support website-related coordination, local administrative matters and various business support activities.

- Contribute to the development, implementation and continuous improvement of internal procedures, templates, workflows and operational tools.

- Support document control, data organization and the maintenance of company records and databases.

- Participate in special projects related to the Company's growth, organization, international development and operational efficiency.

- Provide cross-functional support to Management across business operations, project administration and corporate activities.

- Identify opportunities for improvement and actively contribute to strengthening the Company's structure, systems and ways of working.

REQUIREMENTS

- Students or recent graduates in Law, Business Administration, Human Resources, International Business, Management, Corporate Governance, Translation or related fields.

- Strong organizational skills and attention to detail.

- Excellent reporting, follow-up and communication skills.

- Ability to work on multiple subjects simultaneously and adapt to changing priorities.

- Ability to understand, summarize and communicate complex topics clearly.

- Strong analytical and problem-solving capabilities.

- Ability to work independently as well as within a multicultural team environment.

- Positive attitude, professionalism and willingness to learn.

- Strong sense of responsibility, ownership and initiative.

- Excellent time management, anticipation and prioritization skills.

- Self-disciplined, reliable and committed to meeting deadlines.

- Interest in business operations, administration, legal matters, corporate development and organizational improvement.

- Interest in design, architecture, art, culture, innovation and sustainability is appreciated.

- Multicultural exposure and understanding of international environments is a plus.

- Fluency in Vietnamese and English, both written and spoken, is required.

- French language skills are a plus.

- Proficiency in Microsoft Office (Word, Excel, PowerPoint).

- Good knowledge of Google Workspace.

- Ability to quickly learn new software, platforms and digital tools.
