Job description for Admin & HR Operations Executive at Anymind Group

As an Admin & HR Operations Executive, you will manage end-to-end office logistics and vendor relations while ensuring HR compliance through meticulous database maintenance, payroll support, and labor law alignment.

What You Will Do

1. Office Administration

  • Supervise outsourcing suppliers (office leasing, sanitation, stationary, pantry supplies, etc.)
  • Organize internal events like birthdays, TGIF, and bootcamps.
  • Act as the primary contact point for welcoming guests and managing front-desk professional standards.
  • Consolidate and verify taxi, phone, utility bills, and all business trips (flights, hotels, visas)
  • Assist expatriate employees with government paperwork, including visa, work permit, temporary residence
  • cards.
  • Maintain records of company assets (e.g., MacBooks) and manage parking card registrations.

2. HR Operations and Compliance

  • Update and maintain employee databases is 100% accurate, up-to-date, and that all digital and physical
  • personal profiles are complete.
  • Manage personal income tax (PIT) and dependent registration for employees.
  • Monitor monthly timesheet and leave requests to ensure accurate data for payroll
  • Support the team with onboarding logistics, termination processes, and local authority paperwork.
  • Manage the contract review, ensure the compliance with the Labor Code
  • Perform other tasks on Line Managers’ assignment.

Who You Are

  • Bachelor’s degree in Marketing, Business Administration, or related field
  • Proficiency in Vietnamese & English
  • Minimum of 2 years of experience in Admin or HR Operations.
  • Experience in a digital marketing agency is a plus.
  • Tasks & time management skills, proactive attitude are prioritized.
  • Result-driven and have a good sense of responsibility as well as a strong enthusiasm.
  • Good communication skills.
  • Excellent MS Office skills (MS Excel, MS PowerPoint).
  • Ability to multi-task in a fast-paced environment.
  • Proven organizational skills and attention to detail, as well as the ability to prioritize and work well in an environment with competing demands
