Job description for Secretary at Pt Murni Solusindo Nusantara
- Consolidate and manage the CEO’s task lists based on priorities:
- Continuous update, monitoring, and enforcing of the entire task lists so they can be well-coordinated and run smoothly.
- Take the initiatives to liaise and coordinate with all relevant parties (PIC) across divisions related to the task lists.
- Advise the CEO of impending work deadlines for internal and external commitments, e.g reports, presentations, conferences, projects.
- Arrange all schedules (appointment, meeting, conference) and connect with both internal and external parties to assist on schedule arrangements.
- Take Minutes of Meeting (MoM) and follow up the action plan of each meeting to relevant PIC on regular basis.
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.):
- Making drafts to reply all correspondences and proposing it to the CEO for final approval.
- Ensuring that incoming correspondence is dealt with by the CEO/or on behalf of the Director, or other staff as appropriate.
- Receive and screen phone calls and redirect them when appropriate.
- Create and manage a confidential and efficient filing system of documents both softcopy and hardcopy.
- Manage travel and business trip arrangements (including visas and accommodation).
- Process all reimbursement documents.
- Manage personal stuff.
- Collaborate with Company Secretary in allocating the management of task lists.
- Min. 3 years of experience as a Personal Assistant for C-Level and Board of Director.
- Deep understanding on secretarial and managerial tasks.
- A Bachelor Degree from reputable university in Indonesia or overseas (overseas graduated is a major plus).
- Certification in secretarial work, office administration, or related trainings.
- Advanced typing, note-taking, recordkeeping, and organizational skills.
- Extensive experience in creating documents and spreadsheets, using office software such as MS Word, Excel, and PowerPoint.
- Outstanding time management skills.
- Ability to multitask and work under tight deadlines & pressures.
- Excellent written and verbal communication skills.
- Exceptional interpersonal skills.
