Job Description: Operations & Reservations Executive
As an Operation & Reservation Executive, your primary responsibility is to assist and manage the travel arrangements of customers who are planning to visit a particular destination or region in Malaysia. You will work closely with clients to understand their travel needs, provide recommendations, book flights, accommodations, tours, and other services to create an enjoyable and seamless travel experience.
Your may include the following tasks and responsibilities:
- Customer Service: Provide exceptional customer service by responding to customer inquiries, providing information about travel options, offering recommendations, and resolving issues or concerns in a timely and professional manner. You will be the point of contact for clients throughout their travel planning process, ensuring their needs are met and questions are answered.
- Travel Planning: Understand customer preferences, interests, and budget to create customized travel itineraries. Research and recommend various travel options, including flights, accommodations, tours, transportation, and other services based on the client's needs and requirements. Coordinate with suppliers and partners to confirm bookings, process reservations, and issue tickets or vouchers.
- Sales and Promotion: Promote and sell travel packages, services, and products to clients by explaining features, benefits, and pricing. Up-sell or cross-sell additional services or upgrades to enhance the customer experience and increase revenue. Keep updated with the latest travel trends, promotions, and industry news to provide accurate information and maximize sales opportunities.
- Documentation and Record Keeping: Maintain accurate records of customer information, bookings, payments, and other relevant details. Prepare and distribute travel documents such as itineraries, tickets, vouchers, and invoices. Ensure all documentation and records are organized, updated, and accessible for future reference or audits.
- Relationship Management: Build and maintain relationships with clients, suppliers, and partners to establish trust, loyalty, and repeat business. Collaborate with other team members or departments to ensure smooth and efficient operations. Handle and resolve any issues or complaints from clients, suppliers, or partners in a professional manner.
- Industry Knowledge and Compliance: Stay updated with industry regulations, policies, and procedures related to travel bookings, pricing, documentation, visas, and other travel-related requirements. Follow company policies and procedures, including pricing, payment, refund, and cancellation policies. Adhere to ethical practices and legal guidelines in the travel industry.
- High school diploma or equivalent (some positions may require a bachelor's degree in tourism, hospitality, or related fields).
- Proven experience as a travel agent or in a similar role, preferably in inbound travel.
- Strong knowledge of travel destinations, attractions, transportation, accommodations, and other travel-related services.
- Excellent communication skills, both written and verbal, with proficiency in English (additional language skills may be preferred depending on the target market).
- Ability to use computer reservation systems (CRS), online booking platforms, and other travel-related software.
- Customer service-oriented with strong interpersonal skills and the ability to build and maintain relationships.
- Sales skills with the ability to upsell or cross-sell travel products and services.
- Attention to detail, organizational skills, and ability to multitask in a fast-paced environment.
- Familiarity with industry regulations, policies, and procedures.
- Ability to work independently or as part of a team.
- Flexibility to work irregular hours, including weekends, holidays, and evenings, as needed.
- Passion for travel and knowledge of different cultures, customs, and travel trends.
