About This Role
This is not a standard administrative position.
The Executive Assistant & Operations Liaison works directly alongside senior leadership to ensure that all departments — Design, Project Management, Purchasing, Production, and Accounting — remain aligned, informed, and moving forward. You will act as a communication hub and operational filter: escalating what needs attention, resolving what doesn't, and keeping the entire operation running without friction.
You will be present in real business conversations, exposed to real client relationships, and given real responsibility from day one. This role grows as fast as you do.
Key Responsibilities
Manage executive schedules, correspondence, and meeting coordination on behalf of senior leadership
Serve as the primary liaison between internal departments — ensuring cross-functional alignment and timely follow-through
Meet and manage clients independently when required, representing the company with professionalism
Filter, prioritize, and relay information between leadership and department teams
Monitor project timelines, procurement updates, and operational issues — flagging delays or risks proactively
Create and manage social media content for the company's platforms (Instagram, LinkedIn) using tools such as CapCut, Canva, or similar
Support leadership in preparing presentations, reports, and business documentation
Assist in managing vendor and client communications as needed
Requirements
Non-Negotiable:
Based in East, North, or Central Jakarta — this is an on-site role in Cakung
Fluent in English — written and spoken. All internal and client-facing communications require professional-level English
Excellent interpersonal and communication skills — you must be comfortable in a room with Directors, CEOs, and senior clients
Well-presented, proactive, and highly organized
Ability to manage multiple priorities without losing attention to detail
Genuine interest in interior design, business operations, or marketing
Preferred:
Mandarin language proficiency (spoken) is a significant advantage
Familiarity with CapCut, Canva, or social media content creation tools
Exposure to or interest in AI productivity tools
Fresh graduates are welcome — we value attitude and potential over years of experience
