We are a leading luxury bridal boutique based in Singapore, serving brides from around the world with designer bridal gowns and a highly personalized, white-glove experience.
We are looking for a Sales coordinator who is warm, meticulous, emotionally intelligent, and highly responsive. This role is ideal for someone who genuinely enjoys caring for clients, keeping things organized, and ensuring no detail falls through the cracks.
You will play a critical role in ensuring smooth communication and operational coordination across the boutique.
You will:
replying to client inquiries promptly and professionally
ensuring no messages or follow-ups are missed
supporting backend sales operations and payment coordination
coordinating appointments and schedules accurately
updating CRM and operational systems meticulously
handling emotional or escalated client situations calmly and professionally
supporting communication flow across Sales, Operations, and Finance teams

Responsibilities
1. Client Communication & Follow-Up
Respond promptly and professionally to client inquiries via WhatsApp, email, and calls
Ensure no inquiries, follow-ups, or important messages are missed
2. Sales Operations (Backend Support)
Create accurate invoices, purchase orders, and payment documents using Zoho
Verify all client payments (HitPay, bank transfer, PayNow)
Update payment statuses & outstanding balances
Accurately update on all bookings, fittings, and gown statuses
Maintain accurate, real-time updates in Airtable and internal systems
Support the gown lifecycle process from booking → fittings → collection → return
Issue PO and prepare invoices
3. Accounts Reconciliation & Daily Settlement
Perform daily sales closing and settlement reconciliation
Reconcile invoices, deposits, outstanding balances, and payment records accurately
Accounts receivables
Accounts payable
4. Operations & Cross-Department Coordination
Liaise with the Operations team on gown alterations, readiness, and deadlines
Track shipping updates, designer confirmations, and logistics
Ensure timely communication across Sales → Ops → Finance
Maintain updated forms, SOPs, and internal documentation
Support boutique-wide operational needs during peak periods
5. General Administrative Support
Maintain filing and document organisation on Google Drive
Update client records, measurement logs & operational trackers
Manage procurement of office supplies for boutique operations
Provide administrative assistance to management when required
6. Process Improvement & Systems Thinking
• Identify inefficiencies in workflows and propose improvements
• Support implementation of SOPs and automation tools
• Ensure all processes are scalable as the business grows

Requirements
5+ years of experience in client relation, customer service/sales environment, sales co-ordination, clinic coordination, backend sales operations or reconciliation support
Exceptional written communication skills with a strong command of English.
Proficient in using WhatsApp Business, Instagram/Facebook DMs, email platforms, and CRM systems.
Highly organised with the ability to manage multiple conversations simultaneously.
Tech-savvy, adaptable, and comfortable navigating new tools and platforms.
Strong analytical skills with high attention to detail and accuracy.
Excellent organizational and time-management abilities.
Ability to work independently and handle confidential information with discretion.
