Sages Academy is a growing student care and tuition centre with two locations in Singapore. We're building smart, system-driven operations to deliver a high-quality experience for our students and families and we're looking for someone sharp and self-driven to grow with us.
(5 day or 5.5-day work week)
Working Hours: Monday to Saturday | Mon–Fri 9am–6pm, Sat 9am–1pm
Locations: Admiralty & Choa Chu Kang (travel between centres required)
Key Responsibilities
Centre Operations
• Oversee daily operations across Admiralty and Choa Chu Kang centres
• Ensure adherence to SOPs and operational standards across student care and tuition
• Conduct routine checks on cleanliness, documentation, safety, and stock levels
• Support implementation of new workflows and operational improvements
• Follow up on action items from centre meetings
• Assist with light facilities upkeep including monthly maintenance of centre equipment
Customer Service & Parent-Facing Admin
• Serve as the first point of contact for parents — walk-ins, calls, and WhatsApp enquiries
• Handle enrolment admin, programme information, and fee-related queries
• Assist in drafting and sending operational communications to parents and guardians
• Manage parent follow-ups on attendance, dismissal arrangements, and programme updates
• Coordinate with HQ and external vendors where required
Class Coverage
• Provide ground support including stepping in to cover student care or tuition classes
• Maintain a calm, structured classroom environment when covering
Manpower & Scheduling
• Assist with staff roster planning and manpower coverage across centres
• Track part-time teacher availability and deployment for student care and tuition
• Monitor attendance and manpower data for accuracy
• Support onboarding documentation and admin processes for new staff
Programme & Curriculum Logistics
• Coordinate logistics for student care programmes, holiday activities, and tuition classes
• Prepare materials lists and maintain stock tracking across services
• Liaise with centres to ensure smooth programme and class rollout
• Support training preparation and operational readiness for teaching staff
• Assist with student progress tracking and parent communication across both services
Systems & Tech Support
• Assist in maintaining and troubleshooting our internal automation system (training provided)
• Support basic IT tasks including device setup and account management for new staff
• Help execute tech-enabled projects and initiatives as directed by the founder
Logistics & Procurement
• Track centre inventory and stock levels
• Coordinate purchase orders and procurement documentation
• Liaise with suppliers for maintenance, repairs, and supplies
Qualifications
• Diploma in Business, Operations, Education, Technology, or related field
• 2 or more years of experience in operations, coordination, education, or service industry preferred
• Strong organisational and follow-up skills
• Comfortable handling multiple moving parts in a fast-paced environment
• Good communication skills and ability to work with different stakeholders
• Detail-oriented with a strong sense of accountability
• Proficient in Google Calendar, Microsoft Office, Slack, and task management tools
• Comfortable using AI tools
• Comfortable around children and able to hold a class environment when required
• Able and willing to travel between centres as required
• Comfortable working Saturday/Sunday mornings (9am–1pm) as part of the 5.5-day work week
