About the Role
We are looking for a dedicated and service-oriented Clinic Administrative Assistant to support the daily operations of our specialist clinic. The ideal candidate will be responsible for patient registration, appointment coordination, billing administration, and ensuring a smooth patient experience while maintaining high standards of professionalism and confidentiality.
Key Responsibilities
Patient & Front Desk Operations
Manage patient registration, appointment scheduling, and front desk operations.
Attend to phone calls, emails, and patient enquiries in a professional and courteous manner.
Welcome patients and provide excellent customer service throughout their clinic visit.
Maintain a clean, organised, and professional reception and waiting area.
Administrative Support
Prepare, update, and maintain accurate patient records and clinic documentation.
Coordinate referrals, laboratory reports, medical reports, and supporting documents when required.
Ensure proper filing and strict confidentiality of patient information.
Provide administrative support to doctors and nurses to facilitate smooth clinic operations.
Billing & Claims Administration
Process patient billing and payment collection.
Handle insurance claims, Medisave submissions, and related administrative follow-up.
Assist with reconciliation and documentation of billing records when required.
Medication & Inventory Support
Assist with medication inventory checks and monitor stock levels and expiry dates.
Support medication coordination and inventory management activities.
Assist in dispensing medications under the supervision and guidance of the clinic doctor and/or pharmacist, where applicable.
Compliance & Operations
Ensure compliance with clinic SOPs, healthcare regulations, and company policies.
Support ad-hoc operational and administrative duties assigned by management.
Requirements
Minimum GCE 'N'/'O' Level, NITEC, Diploma, or equivalent.
Prior experience in a healthcare, specialist clinic, hospital, or customer service environment will be an advantage.
Familiarity with Medisave submissions, insurance claims, and clinic management systems is preferred.
Good communication and interpersonal skills.
Proficient in Microsoft Office applications.
Meticulous, organised, and able to handle confidential information responsibly.
Positive attitude and ability to work effectively in a fast-paced environment.
