Job Summary

Join Hexogon Solution Pte Ltd as an Administrator cum Personal Assistant to support daily administrative operations, secretarial and personal assistant support, coordinate logistics, and assist multiple departments in a fast-paced environment.

Responsibilities

  • Deliver comprehensive administrative support to management and departments to ensure smooth daily operations
  • Execute clerical duties including filing, accurate data entry, and document preparation to maintain organized records
  • Manage human resources-related tasks to support employee needs and optimize office functions
  • Provide secretarial and personal assistant support to the Director to facilitate executive tasks and decision-making
  • Coordinate logistics and shipment processes to ensure timely delivery and optimize inventory management
  • Maintain office systems and organize supplies and equipment to ensure a well-stocked and efficient workplace
  • Professionally handle incoming phone calls and greet visitors as the first point of contact to represent the company positively
  • Participate in projects and complete ad-hoc administrative tasks to support company initiatives and goals
  • Prioritize and manage multiple tasks efficiently to meet deadlines in a dynamic work environment
  • Communicate clearly in English to liaise with associates and stakeholders for effective collaboration and information exchange
  • Utilize Microsoft Office suite (Word, Excel, PowerPoint) proficiently to prepare reports and presentations that support business needs
  • Work independently and collaboratively with a positive attitude, demonstrating responsibility and initiative

Required competencies and certifications

  • Minimum 2 years of experience in an administrative or office support role
  • Diploma or higher

Preferred competencies and qualifications

  • Experience in a Personal Assistant role
  • Knowledge and experience in shipping and logistics processes
