Visa Officer

SPUN is seeking a Visa Officer to manage end-to-end visa application processes, ensuring smooth coordination between clients, field officers, and relevant authorities. This role is ideal for someone detail-oriented, organized, and experienced in handling travel documentation and embassy procedures.

Working Conditions

Working location: South Jakarta (Hybrid WFH + WFO)

Key Responsibilities:

• Receive, manage, and process all required documents for visa application documents from clients.
• Ensure all visa-related documents are complete and submitted on time, from initial collection to embassy/visa center submission.
• Prepare and update document status in the internal system.
• Schedule visa appointments (if required) and provide clear instructions to clients.
• Provide regular updates and accompany clients throughout the visa process until final decision (approved/rejected).
• Handle form-filling, document preparation, and arrange documents according to embassy/visa center guidelines.
• Handle add-ons services to support visa application process if needed (travel itinerary, hotel booking, flight booking, travel insurance, etc)
• Coordinate with Field Officer for on-the-ground support in visa processing.

Requirements:

• 1–2 years of experience in visa handling, travel agency operations, or related administrative roles.
• Familiarity with embassy procedures and document requirements is essential.
• High attention to detail and the ability to multitask under time pressure.
• Excellent communication skills, both written and spoken.
• Proficiency in English is required (written and conversational).
• Able to work independently as well as collaborate with internal teams and external partners.
• Able to prioritize tasks.
