Job Overview:
As the Secretary, you will be the right-hand support to the executive team, providing comprehensive administrative assistance. You will manage calendars, coordinate meetings, handle confidential information, dealing with multiple suppliers and ensure smooth office operations. This role requires excellent multitasking abilities, superior communication skills, and a strong ability to prioritize tasks in a fast-paced work environment.
Key Responsibilities:
- Executive Support: Provide high-level administrative support to executives, including calendar management, meeting coordination, travel arrangements, find suppliers or vendors and preparation of presentations and reports.
- Communication Management: Act as a liaison between executives and other staff members, clients, and external partners. Draft and manage emails, phone calls, and correspondence on behalf of the executives.
- Meeting and Event Coordination: Organize and schedule meetings, appointments, conferences, and special events. Prepare agendas and take minutes as needed.
- Office Management: Manage office supplies, equipment, and general office tasks. Coordinate office activities to ensure a smooth and efficient work environment.
- Confidentiality: Handle sensitive and confidential information with discretion and professionalism.
- Project Support: Assist with ad-hoc projects and initiatives, as needed, ensuring deadlines and quality standards are met.
Qualifications:
- Experience: Female with min. 3 years of experience as an Executive Assistant or in a similar administrative role, supporting senior-level management.
- Live in Bali,
Skills:
- Fluent in English is a MUST (written and conversational)
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook
- Communication: Strong verbal and written communication skills, with the ability to interact professionally with internal and external stakeholders.
- Organization: Excellent organizational and time-management skills, with the ability to manage multiple tasks and prioritize effectively.
- Attention to Detail: High level of accuracy and attention to detail in all aspects of the role.
- Discretion: Ability to handle confidential information with integrity and professionalism.
- Education: A Bachelor’s degree in Business Administration, Communications, or a related field is preferred but not required.
- Other: Ability to work independently with minimal supervision, demonstrate initiative, and thrive in a fast-paced work environment.
