Job Description and Responsibilities
The Reservation Officer is responsible for arranging and managing all reservations required for programs and itineraries prepared by the Account Managers for both FIT and GIT clients.
The key responsibilities include:
- Arrange, confirm, and manage reservations for hotels, tickets, tour guides, transportation, third-party services, and any other products or services required for the successful operation of each program or itinerary.
- Ensure that all reservations are made accurately, efficiently, and in accordance with the standards, procedures, and protocols established by Kelana DMC Management.
- Provide reservation support to the Account Managers, allowing them to focus on their primary responsibilities of designing programs, preparing itineraries, and producing quotations.
- Maintain accurate and up-to-date reservation records, including booking confirmations, amendments, cancellations, special requests, payment deadlines, and other relevant information.
- Communicate and follow up promptly with suppliers and internal departments to ensure that all confirmed arrangements meet the requirements of the relevant program or itinerary.
Performance and Professional Responsibilities
- The Reservation Officer is expected to perform their duties independently while complying with all policies, procedures, guidelines, and instructions established by Kelana DMC Management and the Operations & Reservations Manager.
- All duties must be carried out carefully, accurately, and with close attention to detail.
- The Reservation Officer may not enter into any employment, consultancy, or business arrangement with another party, whether paid or unpaid, during their employment without the prior written approval of the Company.
- The Reservation Officer must not undertake any activity that could conflict with or be detrimental to the Company’s operations or business interests. They are expected to perform their duties conscientiously, act in good faith, and support the best interests of Kelana DMC.
- The responsibilities listed above describe the primary duties of the position but are not exhaustive. The Reservation Officer may be assigned other reasonable duties related to the role and the operational requirements of the Company.
- The Reservation Officer must immediately inform Management upon identifying any error, discrepancy, or operational issue—whether within their own department or another department—that may affect the proper handling of a client’s arrangements.
- If the Reservation Officer becomes aware of any decline in service quality, operational issue, or other concern involving a Kelana DMC supplier, they must report it to Management promptly.
