MultitudeX PTE. LTD. is a Singapore-headquartered company with a representative office in Indonesia. We are looking for a dependable Part-Time HR & Administration Coordinator to support our local employees, statutory administration and representative-office operations. MultitudeX is an affiliated organisation of HeadHunters HQ.
Key Responsibilities
- Coordinate employee onboarding and offboarding in Indonesia.
- Prepare employment agreements, HR letters and onboarding documents using approved company templates.
- Arrange documents for review, approval and signature by authorised representatives.
- Maintain accurate and confidential employee records.
- Collect and verify employee information required for payroll, BPJS and statutory reporting.
- Review HR information generated through the company’s automated reporting systems before submission.
- Prepare and process monthly payroll, including salaries, allowances, deductions, overtime, BPJS contributions and applicable payroll taxes.
- Generate payslips and payroll reports for management review and approval.
- Coordinate salary payments and statutory submissions after receiving management approval.
- Liaise with external accounting, legal and government-service providers when required.
- Monitor employment contract expiry dates, probation periods, leave records and statutory deadlines.
- Serve as the first point of contact for routine employee enquiries.
- Support recruitment coordination, including interview scheduling and preparation of employment documentation.
- Assist the Country Representative with general representative-office administration.
- Escalate sensitive employment, disciplinary and compliance matters to management.
- Subject to formal written authorisation, background checks and legal approval, sign selected routine HR and administrative documents for the company.
Requirements
- Diploma or degree in Human Resources, Business Administration, Accounting or a related field.
- At least three years of relevant HR, payroll or administrative experience in Indonesia.
- Familiarity with employee onboarding, BPJS and Indonesian employment administration.
- Proficient in Bahasa Indonesia and able to communicate professionally in English.
- Organised, detail-oriented and able to work independently.
- Trustworthy and capable of handling confidential employee information.
- Comfortable using spreadsheets, cloud-based systems and automated workflows.
- Must reside in Indonesia and be available to attend occasional in-person appointments when required.
- Experience supporting a foreign company or representative office would be advantageous.
