The Role
We are looking for a Project Manager who brings structure, clarity, and control to fast-moving creative environments. In this role, you are responsible for managing the flow of projects across teams, ensuring that every brief is clearly understood, every task is properly structured, and every deadline is met without compromise.
You operate as the central point of coordination, translating briefs into actionable plans and organizing workflows within Notion. You ensure that information is clear, accessible, and consistently maintained across all projects. You bring order to complexity, allowing teams to focus on execution without confusion or delays.
You work closely with creative, strategy, and production teams to manage priorities, align expectations, and maintain momentum. You do not wait for updates. You actively monitor progress, identify potential risks, and resolve issues before they impact delivery.
In a multi-project, multi-timezone environment, you maintain control through organization, precision, and proactive communication. You ensure that all moving parts are aligned, all stakeholders are informed, and all deliverables are completed to the expected standard.
What We Expect
- Traffic Management and Workflow Control
You manage the flow of projects across teams with clarity and discipline. You prioritize tasks effectively, balance workloads, and ensure that deadlines are realistic and consistently met. You maintain visibility across all ongoing work and ensure that nothing is overlooked or delayed. - Brief Understanding and Translation
You have the ability to fully understand project briefs and translate them into clear, structured plans. You ensure that all requirements are defined, documented, and communicated effectively to the team. You clarify ambiguity early and prevent misalignment before execution begins. - Execution and Deadline Ownership
You take full ownership of timelines and delivery. You track progress closely, follow up consistently, and ensure that projects move forward without unnecessary friction. You are proactive in identifying risks and take immediate action to keep projects on track. - Notion and Data Organization
You are highly proficient in using Notion as a project management tool. You build and maintain structured systems that keep all project data organized, up to date, and easy to navigate. You ensure that documentation is clear, consistent, and accessible to all stakeholders at any time. - Cross Functional Coordination
You act as the link between teams, ensuring smooth communication and alignment across creative, strategy, and production. You facilitate collaboration without adding complexity, making it easy for teams to work together efficiently. - Process Discipline and Continuous Improvement
You maintain a high standard of organization and continuously look for ways to improve workflows. You simplify processes, reduce inefficiencies, and ensure that systems evolve as the team scales.
Your Profile
- 4–8 years of experience in project management within agency or high-performance environments.
- Proven Delivery: You have managed multiple complex projects simultaneously—campaigns, productions, or multi-market rollouts—with clear outcomes and deadlines met.
- Tool Mastery: Strong experience with project management tools (Asana, Monday, ClickUp, Notion, or similar). You are highly structured in how you track and report progress.
- Operational Mindset: You think in systems, not tasks. You understand how to build processes that reduce friction and increase speed.
- Communication Precision: Clear, direct, and structured. You don’t over-explain—you make things understandable and actionable.
- Work Attitude: Calm under pressure, highly accountable, and solution-oriented. You don’t panic—you execute.
- Self-Managed: You take ownership. You don’t wait to be told—you identify gaps, fix issues, and keep projects moving forward.
Flexible Organization
We operate with teams working in relay to cover 7 days a week. You can join:
- The weekday team (Monday → Friday)
- The weekend team (Saturday → Sunday)
- A mix of both, depending on your preferences and life rhythm.
