About the Role
We are looking for a highly organized, detail-oriented, and proactive Project Coordinator to support and coordinate defense procurement projects, defense equipment integration, and operational logistics.
In this role, you will act as a key liaison between government/defense stakeholders, international OEMs, local contractors, and internal teams. You will be responsible for coordinating project schedules, procurement activities, contract administration, technical documentation, logistics, and project reporting.
The ideal candidate has strong project coordination skills, excellent communication abilities in English and Bahasa Indonesia, and is comfortable working in a highly regulated, deadline-driven environment.
Requirements
- Bachelor's degree (S1) from a reputable university.
- Preferred backgrounds: Engineering, Aerospace/Aeronautical, Mechanical, Electrical, Industrial, Marine, Defense Engineering, Law, Business, Logistics, Supply Chain, International Relations, or Project Management.
- Minimum 5 years of experience in project coordination, procurement, contract administration, or a related field.
- Experience in defense procurement, defense industry, aerospace/aviation, or government procurement is highly preferred.
- Good understanding of international procurement, import-export procedures, and commercial terms.
- Familiarity with TKDN/local content, offset, counter-trade, or export control regulations is an advantage.
- Proficiency in project management tools such as MS Project, Primavera, Trello, Jira, or similar platforms.
- Able to understand technical documentation such as specifications, Bill of Quantities (BOQ), Acceptance Test Procedures (ATP), FAT, and SAT.
- Fluent in written and spoken English and Bahasa Indonesia.
- Strong communication, coordination, analytical, and problem-solving skills.
- High level of integrity, attention to detail, confidentiality, and professionalism.
- Comfortable coordinating with government officials, military/defense stakeholders, engineers, legal counsel, international partners, and senior management.
Key Responsibilities
1. Project Coordination
- Develop, maintain, and monitor project schedules, including Gantt charts and milestone tracking.
- Coordinate procurement activities from purchase/order placement through delivery and project completion.
- Coordinate meetings and communication between internal teams, government/defense clients, and international OEMs.
- Monitor project progress and ensure key milestones are achieved according to agreed timelines.
2. Procurement & Contract Compliance
- Review procurement and defense contract requirements and ensure compliance with contractual obligations.
- Coordinate documentation related to Performance Bonds, Advance Payment Bonds, Letters of Credit (L/C), and other commercial requirements.
- Support compliance with local content/TKDN, offset, counter-trade, and applicable procurement requirements.
- Coordinate with legal, procurement, technical, and commercial teams as required.
3. Technical Documentation & Acceptance
- Prepare and compile technical proposals, equipment specification sheets, and related technical documentation.
- Coordinate preparation and logistics for Factory Acceptance Tests (FAT) and Site Acceptance Tests (SAT).
- Prepare project documentation such as Minutes of Meeting (MoM), System Design Review (SDR), and Program Management Review (PMR) reports.
- Ensure project documentation is accurate, complete, and properly maintained.
4. Logistics & Customs
- Coordinate international shipments and verify shipping documentation, including Bill of Lading (BL), Air Waybill (AWB), Certificate of Origin (COO), and Packing Lists.
- Liaise with freight forwarders and customs brokers for the clearance of specialized or regulated equipment and spare parts.
- Monitor logistics activities to ensure timely delivery and compliance with applicable regulations.
5. Reporting & Risk Management
- Prepare weekly and monthly project progress reports for management.
- Track project milestones, deliverables, and potential delays.
- Identify risks related to procurement, supply chain, regulatory approvals, logistics, and technical requirements.
- Coordinate mitigation actions with relevant stakeholders.
Preferred Certifications
- CAPM® or PMP® certification is an advantage.
- Certification in Public Procurement (LKPP) or Contract Management is an advantage.
