Brief Summary:
Streamlines and structures construction administration, documentation, reporting, communication, and project systems, ensuring information is organized, accurate, traceable, and aligned across Project Management, Engineering, Procurement, and Site Teams.
Key Responsibilities:
Construction Department Clerk
- Support the Construction General Manager with departmental administration, meetings, reporting, and coordination.
- Prepare MoM, action trackers, internal memos, and management reports.
- Maintain departmental SOPs, templates, and administrative records.
Project Administration & Document Control
- Structure and maintain centralized project documentation across active construction projects.
- Manage drawing, document, material, correspondence, and revision registers.
- Ensure proper filing, naming, version control, traceability, and project close-out records.
Document & Action Tracking
- Monitor RFIs, SIs, NCRs, submittals, approvals, correspondence, and outstanding actions.
- Follow up on pending or overdue items and provide status updates to the CGM.
- Maintain clear documentation and action traceability throughout the project lifecycle.
Reporting, Dashboard & Data Management
- Consolidate project updates from Project Managers, Engineering, and Procurement.
- Maintain project dashboards, trackers, and management reporting.
- Ensure project data is accurate, complete, and up to date.
Project Management System & Coordination
- Administer and maintain the Construction Department’s Trello workspace, including project boards, workflows, and dashboards.
- Ensure consistent system usage and follow up on overdue or incomplete updates.
- Coordinate administrative communication and information flow across Construction, Procurement, Finance, Design, and Project Teams.
Requirements:
Education:
- Diploma or Bachelor’s degree in Business Administration, Construction Management, Engineering, Management, or a related field.
Experience:
- 1–2 years of experience in construction administration, project administration, document control, or a similar role.
- Experience handling project documentation, reporting, registers, trackers, and administrative coordination.
- Experience with project management or collaboration systems such as Trello, Asana, Monday.com, or similar platforms is preferred.
Skills:
- Strong document control, organization, and administrative coordination skills.
- Proficient in Microsoft Office / Google Workspace and reporting tools.
- Strong written and verbal communication with good follow-up capabilities.
