Program Reporting Coordinator is responsible for tracking, compiling, and analysing data for social impact, community development, or welfare initiatives. They translate daily operations and impact metrics into formal reports required by stakeholders, donors, and government agencies to ensure program compliance and continued funding.
Core Responsibilities & Duties
1. Data Tracking & Impact Measurement
• Monitor Metrics: Track key performance indicators (KPIs) to evaluate program effectiveness, such as the number of beneficiaries, outreach reach, and participant outcomes including orphans’ sponsorship.
• Data Management: Gather, organize, and maintain accurate databases related to social services provided including orphans’ sponsorship.
2. Report Generation & Documentation
• Drafting Reports: Write and edit regular progress reports (weekly, monthly, quarterly, and annual) for donors, corporate sponsors, and funding bodies.
• Formatting: Combine data from the field or programmatic teams with visuals (charts, graphs, photographs) to demonstrate the social impact and ensure branding standards are met.
3. Compliance & Auditing
• Ensure Adherence: Ensure all program activities comply with legal standards, grant requirements, and organizational policies.
• Audit Preparation: Maintain comprehensive documentation and records to assist with internal and external audits.
4. Stakeholder Communication
• Liaise with Teams: Collaborate closely with frontline social workers, program managers, and Monitoring & Evaluation (MEL) teams to capture learnings and achievements.
• Stakeholder Updates: Present data and success stories to board members, NGOs, and external partners.
Ideal Skill Set
• Bachelor’s / Master degree in administration / English literatures or related (essential).
• 3 years of work experience as an admin & reporting officer or similar
• Data Literacy: Proficiency in data visualization and analysis tools (e.g., MS Excel, Google Workspace).
• Report Writing: Exceptional technical writing and copy-editing skills to produce compelling grant reports and narratives.
• Organization & Detail: Strong multitasking and time management capabilities to meet strict reporting deadlines.
