About the role
Nilaya is a BPOM and Halal-certified herbal supplement brand based in Bali, with its own production facility and a growing team across production, marketing and e-commerce. We are looking for a part-time HR Officer to handle all people administration and compliance, support the founder's immigration paperwork, and run recruitment end to end.
This is a hands-on, generalist role for someone who knows Indonesian labour and immigration practice well, works independently, and keeps everything documented and on time. You report directly to the founder.
1. HR administration & compliance
Keep Nilaya fully compliant with Indonesian labour law across both company entities.
• Draft, issue and renew employment contracts (PKWT, PKWTT, freelance/mitra agreements) and keep the contract register current, including PKWT reporting to Disnaker where required
• Register and manage all staff on BPJS Ketenagakerjaan and BPJS Kesehatan: enrolments, salary updates, mutations, terminations and monthly contribution reconciliation
• Prepare monthly payroll inputs (attendance, overtime, leave, deductions) and hand clean data to the accountant; check PPh 21 withholding is applied correctly
• Administer leave, THR, overtime and Bali/Badung minimum wage (UMK) compliance
• Maintain personnel files, company regulations (Peraturan Perusahaan) and mandatory postings; handle Disnaker reporting (Wajib Lapor Ketenagakerjaan)
• Run onboarding and offboarding, including exit documentation and severance calculation when applicable
• Handle warnings (SP1–SP3), disputes and terminations correctly and with proper documentation
• Keep Bastien informed of regulatory changes that affect staff costs or obligations
2. Founder immigration (KITAP)
Handle the founder's immigration file so that nothing lapses and no deadline is missed.
• Manage the KITAP and its related documents: MERP (multiple exit re-entry permit), 5-yearly renewal, address and passport-change reporting to Imigrasi within the legal deadlines
• Keep civil-registry documents current: SKTT / KTP-OA (Dukcapil), STM (police registration) and any Kelurahan/Banjar letters
• Liaise directly with Kantor Imigrasi Denpasar/Ngurah Rai and Dukcapil; prepare and submit filings yourself rather than through an agent wherever possible
• Track all expiry dates in a shared calendar and flag renewals at least 90 days ahead
• Advise on related corporate-immigration matters when they arise (e.g. RPTKA/notification if a foreign hire is ever considered)
3. Recruitment & due diligence
Run hiring end to end so the founder only meets a vetted shortlist.
• Write and post job descriptions on Glints, Jobstreet/Seek, LinkedIn and local Bali networks; manage applicant pipelines and keep candidates informed
• Screen CVs, run first-round interviews (phone/video) and deliver a ranked shortlist with a comparison table for each role
• Schedule and sit in on final interviews with the founder; prepare structured questions and scorecards
• Carry out pre-hire due diligence: reference calls to previous employers, verification of KTP, NPWP, education and certificates, portfolio or social-media checks for marketing roles, and SKCK where appropriate
• Draft offer letters, negotiate within the approved band and convert offers into contracts
• Coordinate probation reviews and the 3-month confirmation decision
Requirements
Must have
• 3+ years in an HR generalist or HR admin role in Indonesia, ideally in a PT PMA, manufacturing or F&B company
• Hands-on experience with BPJS Ketenagakerjaan/Kesehatan portals (SIPP), PKWT/PKWTT contracts, THR and payroll inputs
• Working knowledge of UU Cipta Kerja / PP 35/2021 and Disnaker procedures
• Experience handling KITAS/KITAP filings and dealing with Imigrasi and Dukcapil in person
• Proven recruiter: has sourced, screened and interviewed candidates and checked references
• Fluent Bahasa Indonesia and working English (written and spoken)
• Discreet, organised, comfortable owning deadlines without supervision
• Based in Bali (Badung/Denpasar area)
