Key Responsibilities:
Administrative Support
- Provide day-to-day administrative support to the Marketing Department.
- Maintain and organize all marketing files, contracts, invoices, and related documentation.
- Prepare correspondence, meeting minutes, and internal communications as required.
- Monitor and update marketing calendars, campaign timelines, and activity schedules.
- Influencer & Partnership Coordination
- Assist in identifying and compiling databases of KOLs, influencers, media partners, and strategic partners.
- Coordinate communication regarding collaboration proposals, campaign briefs, and scheduling.
- Ensure all collaboration agreements, deliverables, and payment documentation are properly recorded.
- Track influencer deliverables and follow up to ensure completion according to agreed timelines.
Budget & Invoice Administration
- Process purchase requests, payment requests, and reimbursement claims related to marketing activities.
- Coordinate with the Finance Department regarding vendor payments and invoice submissions.
- Maintain records of marketing expenditures and assist in monitoring budget utilization.
- Collect quotations from suppliers and vendors for marketing requirements.
- Reporting & Data Management
- Compile weekly and monthly marketing reports, including campaign performance data provided by the marketing team.
- Maintain accurate databases of customer contacts, media contacts, partners, and marketing assets.
- Prepare presentation materials and reports for management review.
- Support the collection and organization of marketing analytics and campaign results.
Event & Campaign Support
- Assist with administrative preparations for events, activations, and promotional campaigns.
- Coordinate logistics with internal departments and external vendors when required.
- Track deadlines and ensure all necessary approvals and documentation are obtained prior to campaign execution.
- Support the marketing team during on-site events as needed.
Content & Asset Administration
- Organize and maintain digital marketing assets, including photos, videos, design files, and promotional materials.
- Ensure all assets are properly archived and accessible to relevant team members.
- Coordinate with designers, printers, and production vendors regarding administrative matters and project timelines.
Cross-Department Coordination
- Liaise with Operations, Finance, HR, and other departments to facilitate marketing initiatives.
- Follow up on requests and approvals necessary for the execution of marketing activities.
- Ensure effective communication between the marketing team and other stakeholders.
