Job description for Logistics Executive at Spectrum Ingredients Pte Ltd
· Timely preparation and submission of purchase contracts, sales contracts, proforma invoices etc to suppliers and customers.
· Liaise and coordinate with oversea vendor/customer, freight forwarders, carriers & 3rd party logistics.
· Settling for shipment ETA, booking and confirmation on direct shipments.
· Prepare shipping documents for import and export process flow.
· Adhere to shipping/receiving and regulatory-compliance procedures.
· Complete documentation such as invoicing, work orders and shipping orders.
· Monitor and follow up with suppliers / customers to ensure on time and accurate shipping documents submission.
· Requesting and negotiating on freight quotations with forwarders.
· Contact carrier representative to plan and to issue shipping instructions and delivery of materials.
· Arranging SFA inspections &/or fumigation for import shipments.
· Document and escalate any customer service issues and/or shipping/receiving errors.
· Managing products from export/import.
· Creation of new item code in ERP system according to supplier’s product specifications.
· Checking of COA / specifications and approved and acknowledged.
· Ensure billable/reimbursement of costs to suppliers/customers are issued with debit note.
· Rectify problems and coordinate with suppliers / carriers on damages either on products / container, shortages and non-conformance to specifications / certificate of analysis from incoming shipments.
· Checking of Supplier / Customer / Forwarder / 3rd Party Logistics Invoices and to ensure that they are correct and tallied before handing over to Accounts Department.
· Updating of daily shipping report, fumigation report, SFA, CCP reports, Malaysia Direct shipment FCL trucking report and weekly submission of the updated reports to the Logistics and Accounts Team.
· Monthly submission of marine insurance report to the Accounts Department.
· Assist with training of new employees on import shipments.
· To ensure proper upkeep of the documentation system.
· Despatch original export direct shipping documents to customers and to ensure that customers receive the document on time for clearance.
· Acquire in-depth knowledge on current operational procedures and take steps for improvement and cost savings.
· Develop constructive and cooperative working relationships with those in the team, as well as cross-functionally.
Other Duties – Inventory
· Attend to Inventory Queries as a back-up and printing of barcode labels, assisting with sample packing and all inventory related matters.
· Assisting in the warehouse to verify on the incoming and outgoing items, buffer stocks etc.
· Scanning of inventory into ERP system
· Arranging dispatch of samples upon request to both suppliers / customers.
· Preparation of samples for MD’s overseas trips.
· Checking of freight rates with relevant services.
Other Duties – Marketing
· Actively seeking out new sales opportunities through cold calling, networking and social media.
· Participate on behalf of the company in exhibitions or conferences.
· Negotiate/close deals and handle complaints or objections.
· Collaborate with team members to achieve better results.
· Gather feedback from customers or prospects and share with internal teams.
Requirements
- Experienced in processing import shipments and documentation for F&B products
- Familiar with import /direct shipments, incoterms and documentation coordination preferred
- Familiar with inventory management and marketing skill preferred but training will be provided for those with no experience
- Familiarity with Microsoft NAV software strongly preferred
- Prior customer service/sales experience preferred
- Must be good in English
- Must be motivated, self starter and able to multi-task
- Must be proficient in MS Office
- Locals only preferred
