Job Overview
The PDI Admin is responsible for managing and maintaining administrative activities related to the Pre-Delivery Inspection (PDI) and vehicle preparation process. The role focuses primarily on compiling, updating, monitoring, and reporting vehicle-related data, documentation, repair status, spare parts usage, and vehicle readiness.
The position also provides operational support in the field when required, including vehicle inspection, verification of vehicle condition, monitoring repair and detailing activities, and coordination with vendors and internal teams. The role works closely with the Warehouse, Logistics, Service, Parts, and other relevant teams to ensure accurate documentation, smooth vehicle preparation, and timely delivery.
Responsibilities:
- PDI Administration & Data Management
- Compile, consolidate, and maintain accurate PDI and vehicle preparation data.
- Maintain daily records of vehicle status, inspection results, defects, repair progress, detailing, and readiness status.
- Prepare daily, weekly, and monthly PDI and vehicle readiness reports.
- Update and maintain vehicle-related data in SAP and Excel.
- Ensure data accuracy and consistency between SAP, Excel tracking files, and actual vehicle status.
- Maintain and organize PDI checklists, inspection records, repair documents, vehicle movement records, and other related documentation.
- Monitor outstanding PDI findings and follow up with relevant teams until completion.
- Prepare data and reports required for management review and operational meetings.
- Upload and maintain vehicle characteristics and relevant vehicle information in SAP.
- Update vehicle locations and status in SAP.
- Ensure administrative and operational activities comply with company procedures and safety requirements.
- Ensure supporting documents are complete and properly maintained.
- Operational & Field Support
- Support PDI and vehicle inspection activities at the stockyard when required.
- Verify vehicle condition and ensure PDI findings are properly recorded and followed up.
- Monitor vehicle repair, detailing, and accessory installation activities.
- Coordinate with external vendors regarding vehicle preparation and repair activities.
- Verify vehicle readiness against the wholesale delivery schedule.
- Support vehicle allocation and movement to external vendors.
- Conduct physical verification of vehicle status and reconcile it with administrative records.
Qualifications
- Bachelor's Degree (S1) in Automotive Engineering, Mechanical Engineering, Industrial Engineering, Logistics, Business Administration, or a related field.
- Fresh graduates are welcome to apply.
- Experience in administration, data management, automotive operations, PDI, warehouse, logistics, or service is an advantage.
- Basic understanding of automotive vehicles and components.
- Strong administrative and data management skills.
- Proficient in Microsoft Excel, especially for data compilation, tracking, reconciliation, and reporting.
- Familiarity with SAP is an advantage.
- High attention to detail and accuracy.
- Good documentation and organizational skills.
- Able to manage large amounts of data and maintain accurate records.
- Good coordination and communication skills.
- Willing to support field/stockyard activities when required.
- Able to work independently and as part of a team.
- Proactive, organized, and detail-oriented.
