WE’RE HIRING — INVENTORY CONTROLLER ADMIN
We are looking for a highly organized, detail-oriented, and proactive Inventory Controller to support Management in monitoring inventory activities, stock movement, purchasing follow-ups, and inventory-related documentation.
This role is responsible for controlling and monitoring inventory processes to ensure stock records, transactions, requests, deliveries, and documentation are accurate, properly followed up, and reported.
The Inventory Admin Controller will work closely with Purchasing, Finance, Operational Admin, and Management, while the execution of purchasing, receiving, and stock handling remains under the respective PIC.
Key Responsibilities
- Monitor daily inventory activities, including stock requests, stock movement, receiving, and usage.
- Recheck inventory transactions and ensure all stock movements are properly recorded and documented.
- Monitor stock levels and identify low-stock, excess-stock, damaged, missing, or unusual inventory items.
- Follow up with Purchasing regarding purchase requests, order status, supplier confirmations, deliveries, and pending items.
- Cross-check purchase requests, purchase orders, delivery records, invoices, and inventory records to ensure consistency.
- Monitor outstanding purchasing and inventory matters and ensure they are followed up until completion.
- Conduct regular reconciliation between physical stock, inventory records, and supporting documents.
- Identify and report discrepancies, irregularities, or unexplained stock differences to Management.
- Maintain accurate and organized inventory documentation and records.
- Prepare regular inventory reports, including stock status, pending purchases, discrepancies, and other matters requiring Management attention.
- Ensure Management instructions related to inventory and purchasing are communicated to the relevant PIC and followed through until completion.
- Coordinate with Finance when inventory-related documents are required for payment, reimbursement, or transaction verification.
- Assist Management in monitoring inventory costs, purchasing efficiency, and stock control.
- Support stock opname and inventory audits when required.
- Escalate urgent or unresolved inventory issues to Management.
- Perform other administrative and inventory-related tasks as assigned by Management.

- Proficient in Microsoft Office / Google Workspace, especially Excel or Google Sheets.
- Comfortable working with inventory systems or administrative software.
- Trustworthy and able to handle confidential company and financial information.
- Previous experience in inventory, purchasing, administration, warehouse, operations, or stock control is preferred.
