PROGRAM OPERATIONS & PARTNERSHIP INTERN

Youth & International Programs

Location: Jakarta

Employment Type: Internship

Education: Active University Student

Preferred Major: International Relations / Communication / Public Relations / Business / Event Management or related fields

About the Position

We are looking for a proactive and communicative Program Operations & Partnership Intern to support the preparation and execution of our youth and international programs.

You will work closely with the team to conduct research, identify potential schools, venues, vendors, sponsors and partners, communicate with external parties, and support day-to-day program operations.

This is a hands-on role for someone who enjoys researching, talking to people, sending emails, coordinating schedules, and making things happen.

Job Responsibilities

1. Research & Database Development

- Research and identify potential:

- Schools

- Universities

- Educational institutions

- Event venues

- Vendors

- Sponsors

- Community partners

- Potential program partners

- Collect and organize contact information, PIC names, email addresses, phone numbers, websites, and relevant details.

- Maintain and regularly update partnership and vendor databases.

- Conduct online research to find new opportunities and potential partners.

2. Partnership & External Communication

- Assist in contacting schools, venues, vendors, sponsors, and potential partners through email, WhatsApp, phone calls, and other communication channels.

- Send introduction emails, proposals, invitations, follow-ups, and other official communications.

- Follow up with contacts and maintain communication until the next action is completed.

- Assist in arranging meetings, calls, site visits, and appointments with external partners.

- Prepare meeting schedules and basic meeting notes.

- Communicate professionally with local and international stakeholders.

3. Program Operations Support

- Assist the team in preparing youth programs, summer camps, competitions, and international events.

- Coordinate with internal teams and external partners regarding program requirements.

- Assist with venue, vendor, equipment, and logistical coordination.

- Help prepare documents, schedules, checklists, and operational materials.

- Support on-site event operations when required.

4. Content & Creative Support

- Assist in creating simple promotional materials using Canva.

- Assist in editing short-form videos using CapCut.

- Help prepare basic social media or promotional materials for programs and events.

- Support documentation of activities through photos and videos when required.

5. Administrative Support

- Maintain organized records of emails, contacts, proposals, meetings, and follow-ups.

- Update trackers and reports using Google Sheets / Microsoft Excel.

- Assist with other administrative and operational tasks related to programs.

Requirements

- Active university student, preferably semester 3 and above.

- Preferably majoring in:

- International Relations

- Communication

- Public Relations

- Business / Management

- Event Management

- Other relevant fields

- Good command of English, especially written English.

- Good communication and interpersonal skills.

- Comfortable communicating with new people and external organizations.

- Proactive, responsible, and willing to follow up without being constantly reminded.

- Organized and detail-oriented.

- Able to conduct online research and find relevant information independently.

- Familiar with Google Workspace, Microsoft Office, and Google Sheets.

- Able to work independently and as part of a team.

- Willing to learn and work in a fast-paced event environment.

Preferred / Plus Points

These skills are not mandatory, but will be a strong advantage:

- Canva

- CapCut / basic video editing

- Basic graphic design

- Social media content creation

- Experience contacting schools, organizations, companies, or external partners

- Experience in event committees / student organizations

- Experience in Model United Nations (MUN), debate, youth organizations, or international programs

- Previous internship or project experience

- Comfortable communicating in English with international partners

Comfortable handling different types of tasks because event operations can change quickly.

Important Note

This is not a purely administrative internship.

You will be involved directly in the preparation of real youth programs and international events, communicating with schools, organizations, vendors, venues, sponsors, and other external stakeholders.
