About Bali Vape & Tobacco Distribution
Bali Vape & Tobacco Distribution (BVTD) is a growing distribution company focused on the sales and distribution of vape and tobacco-related products across Bali and surrounding markets.
We are looking for a motivated, organised, and people-oriented HR & Recruitment Officer to join our team and take responsibility for recruiting, onboarding, employee administration, and day-to-day HR operations.
This role is ideal for someone who is confident communicating with people, understands recruitment, and can build a strong team culture while supporting the company's growth.
Key Responsibilities
1. Recruitment & Hiring
- Manage the full recruitment process from job posting to hiring.
- Create and publish job advertisements on platforms such as Glints, JobStreet, LinkedIn, and other recruitment channels.
- Source and actively approach suitable candidates.
- Screen CVs and applications.
- Conduct initial interviews and candidate assessments.
- Coordinate interviews with management and department supervisors.
- Conduct reference and background checks where required.
- Prepare employment offers and assist with employment documentation.
- Maintain an active candidate database for future hiring requirements.
2. Employee Onboarding
- Coordinate the onboarding process for all new employees.
- Prepare employment documents, company policies, and required forms.
- Introduce new employees to company procedures, reporting structures, and workplace expectations.
- Coordinate induction and initial training with department supervisors.
- Ensure new employees understand their job responsibilities and KPIs.
3. HR Administration
- Maintain accurate and up-to-date employee records.
- Manage employee attendance and leave records.
- Maintain employment contracts and HR documentation.
- Assist with payroll preparation and provide accurate attendance/overtime information to management or finance.
- Monitor employee probation periods and contract expiry dates.
- Maintain confidential employee information.
4. Employee Performance & Discipline
- Monitor attendance, punctuality, and workplace discipline.
- Assist supervisors with employee performance reviews.
- Track probation evaluations and employee KPI reviews.
- Support management in handling employee warnings and disciplinary procedures.
- Identify recurring employee issues and recommend solutions to management.
5. Employee Engagement & Company Culture
- Help build a professional, positive, and accountable working environment.
- Maintain good communication between management and employees.
- Assist with employee meetings, training, team activities, and company events.
- Help identify employee concerns and communicate them appropriately to management.
6. Recruitment Planning
- Work with management and department supervisors to identify upcoming manpower requirements.
- Prepare recruitment plans based on company expansion and employee turnover.
- Ensure key positions are filled within the required timeframe.
- Maintain a pipeline of potential candidates for sales, warehouse, administration, finance, marketing, and operational positions.

- Daily Responsibilities
- Check and respond to candidate applications.
- Screen CVs and shortlist suitable candidates.
- Contact candidates and arrange interviews.
- Conduct initial HR interviews.
- Update recruitment status.
- Follow up with candidates and hiring managers.
- Monitor employee attendance and HR issues.
- Maintain employee records and documentation.
- Weekly Responsibilities
- Provide a recruitment progress report to management.
- Review open vacancies and recruitment requirements.
- Report shortlisted candidates and interview results.
- Follow up on probation and employee performance reviews.
- Review attendance and disciplinary issues.
- Maintain and update the candidate database.
- Meet with department supervisors regarding manpower requirements.
- Monthly Responsibilities
- Prepare a monthly HR report.
- Report on new hires, resignations, turnover, and open positions.
- Review recruitment performance and hiring costs.
- Monitor employee probation and contract status.
- Review attendance and disciplinary trends.
- Prepare manpower requirements for the following month.
- Recommend improvements to recruitment and HR procedures.
- Key Performance Indicators (KPIs)
The successful candidate will be measured based on:
- Recruitment speed — ability to fill vacancies within agreed timelines.
- Candidate quality — quality and suitability of successful hires.
- Staff retention — ability to recruit employees who remain with the company.
- Interview efficiency — maintaining a strong candidate pipeline.
- Onboarding completion — ensuring all new employees complete required onboarding.
- HR administration accuracy — accurate employee records and documentation.
- Attendance & discipline management — maintaining accurate records and following up on issues.
- Reporting — accurate and timely HR reporting to management.
- Hiring manager satisfaction — effective coordination with department supervisors.
- Requirements
- Minimum 2 years of experience in HR, recruitment, or talent acquisition.
- Experience recruiting sales or operational staff is highly preferred.
- Good understanding of recruitment and interview processes.
- Strong communication and interpersonal skills.
- Able to conduct professional interviews.
- Highly organised and detail-oriented.
- Proactive and able to work independently.
- Comfortable working in a fast-growing company.
- Strong follow-up and coordination skills.
- Good knowledge of Microsoft Office / Google Workspace.
- Experience using Glints, JobStreet, LinkedIn, or other recruitment platforms is an advantage.
- Ability to maintain confidentiality and handle sensitive employee information professionally.
- Bahasa Indonesia: Fluent.
- English: Working proficiency preferred.
