We are seeking a dedicated and professional Gym Front Office professional to join our team in Bali. This is a full-time position based at our location in Bali. As Gym Front Office, you will serve as the first point of contact for our clients, creating a positive and memorable first impression whilst managing the smooth operation of our front-of-house services. This role is fundamental to our guest experience, as you will be responsible for welcoming clients, processing memberships, managing enquiries, and coordinating various front office functions that support both our gym facilities and broader aesthetic clinic operations.
Key responsibilities
1. Welcome and greet all gym members and clients with warmth and professionalism, ensuring they feel valued from the moment they arrive
2. Process gym memberships, renewals, and cancellations with accuracy and efficiency, maintaining detailed member records
3. Answer client enquiries regarding gym facilities, membership options, services, and pricing with detailed and helpful information
4. Manage telephone and email communications, responding promptly to client requests and directing enquiries appropriately
5. Coordinate class bookings, personal training sessions, and other fitness-related appointments
6. Maintain accurate reception records, member databases, and administrative documentation
7. Manage payment processing for memberships, classes, and additional services, ensuring financial accuracy
8. Resolve client concerns and complaints professionally and courteously, escalating complex issues to management when necessary
9. Assist with promotional activities, membership drives, and special event organisation
10. Maintain a clean, organised, and welcoming reception area and front office space
11. Coordinate with other departments to ensure seamless operations and exceptional service delivery
What we're looking for
1. Proven experience working in a front office, reception, or guest services role, ideally within a hospitality, wellness, fitness, or aesthetic clinic environment
2. Excellent communication skills in English are highly desirable
3. Strong organisational and multitasking abilities, with the capacity to prioritise effectively in a busy environment
4. Professional appearance and a genuine passion for delivering outstanding customer service
5. Proficiency with computer systems, booking software, and Microsoft Office applications
6. Cash handling experience and familiarity with payment processing systems
7. Ability to work collaboratively with team members whilst maintaining composure under pressure
8. Knowledge of fitness and wellness services is advantageous
9. Flexibility to work shifts that may include early mornings, evenings, or weekends as required
10. Certification or training in customer service, hospitality, or a related field is preferred
