As we continue to grow, we are looking for a General Affairs & Admin Support who is proactive, resourceful, and organized to ensure smooth day-to-day office operations while supporting the administrative and logistical needs of our management team.
Job Description
- Manage day-to-day General Affairs and office administration, including office supplies, pantry needs, facilities, maintenance, cleanliness, access cards, parking, and coordination with building management.
- Handle purchasing and procurement for office and company needs, including sourcing products, equipment, supplies, and other ad-hoc requirements in a cost-effective manner.
- Provide administrative and logistical support to the management team, including arranging hotels, flights, transportation, restaurants, meetings, events, and other bookings or arrangements as required.
- Assist management and internal teams with ad-hoc requests and operational needs, including finding suitable vendors, products, services, or solutions and ensuring tasks are followed through to completion.
- Maintain proper administrative documentation and records, including invoices, purchases, vendor information, contracts, and other General Affairs-related documents, while handling management-related information with discretion.
- Support company events, office activities, and other operational initiatives, while proactively identifying opportunities to improve office operations, administrative processes, and cost efficiency.
Requirements
- Bachelor's degree in Business Administration, Management, Hospitality, or a related field.
- 2–5 years of relevant work experience in General Affairs, Administration, Office Management, Personal Assistant, Executive Assistant, Procurement, or a similar role.
- Fluent in English, both written and verbal, with the ability to communicate professionally with internal and external stakeholders.
- Strong organizational, communication, and time-management skills with excellent attention to detail.
- Proactive, resourceful, and solution-oriented, with the ability to work independently and take ownership of tasks from start to finish.
- Comfortable coordinating and negotiating with vendors, building management, and external parties.
- Able to manage multiple priorities and handle both routine responsibilities and urgent/ad-hoc requests in a fast-paced environment.
