Key Responsibilities & Duties
Supervise daily Front Office operations to ensure smooth, efficient, and professional service throughout each shift.
Supervise and support Front Office Agents in welcoming guests, handling check-in and check-out, guest requests, telephone calls, messages, and other front desk activities.
Ensure all guests receive a warm, professional, and hospitable welcome upon arrival and throughout their stay.
Monitor guest registration procedures and ensure that guest information is accurately recorded in the Property Management System (PMS) based on the reservation and required guest documentation.
Supervise walk-in guest handling, ensuring that applicable rates, availability, payment requirements, and property rules are properly followed.
Check the accuracy and completeness of guest information and records maintained by Front Office staff.
Ensure Front Office staff provide accurate information regarding property facilities, services, amenities, transportation, and local attractions.
Coordinate and monitor guest requests for additional services, ensuring requests are properly communicated to and followed up with the relevant department.
Handle and resolve guest complaints and operational issues professionally, taking immediate action when possible and escalating serious or unresolved matters to the Front Office Manager or Villa Manager.
Monitor incoming calls, messages, and guest communications, ensuring that requests are promptly answered or redirected to the appropriate department or responsible person.
Coordinate with Guest Relations and other departments to ensure guest requests, complaints, and special arrangements are followed up and completed.
Supervise payment and settlement procedures, ensuring that guest payments are properly processed, recorded, and reconciled in accordance with company procedures.
Verify check-out settlements and Front Office transactions to minimize errors, discrepancies, or unauthorized transactions.
Monitor cash handling and shift cash procedures, ensuring that Front Office Agents follow established financial controls and reporting requirements.
Supervise the receipt and distribution of letters, packages, parcels, and other guest or company deliveries to the appropriate department or recipient.
Ensure proper maintenance of Front Office records, files, reports, and documentation, including shift reports, guest records, handover notes, and other required operational documents.
Conduct proper shift handovers, ensuring that all important guest matters, pending requests, complaints, payments, incidents, and operational issues are communicated to the incoming shift.
Monitor the cleanliness, organization, appearance, and readiness of the Front Office area, ensuring that the front desk is neat, orderly, professional, and sanitized at all times.
Allocate daily duties and work assignments among Front Office staff according to operational requirements and staff availability.
Monitor staff attendance, punctuality, grooming, uniform, and professional conduct in accordance with company standards.
Coach and provide on-the-job guidance to Front Office Agents to improve service quality, operational knowledge, and compliance with SOPs.
Identify training needs and provide feedback on staff performance to the Front Office Manager or relevant management.
Ensure Front Office staff comply with company policies, SOPs, guest service standards, security procedures, and applicable regulations.
Monitor the quality of guest interactions and service delivery, taking corrective action when service standards are not met.
Coordinate with Housekeeping, Maintenance, Guest Relations, Reservations, Finance, and other departments to ensure smooth guest operations and timely resolution of operational issues.
Monitor room status and coordinate with Housekeeping to ensure accurate room availability information for arrivals, departures, and walk-in guests.
Monitor special requests, VIP arrangements, early check-ins, late check-outs, and other guest requirements, ensuring proper coordination and follow-up.
Prepare or verify daily Front Office reports and submit relevant information to the Front Office Manager or management.
Report incidents, guest complaints, operational irregularities, cash discrepancies, and other significant matters to the appropriate manager in a timely manner.
Protect the reputation and interests of the property by ensuring that guest interactions, service recovery, communication, and operational decisions are handled professionally and appropriately.
Prevent actions or service failures that may negatively affect the property's reputation, while maintaining a strong focus on guest satisfaction and service quality.
Act as the person in charge of the Front Office during the assigned shift when the Front Office Manager or higher-level management is not present.
Perform other duties and responsibilities related to Front Office operations as assigned by management.
