Job Overview
Front office is the first point of contact for guests, students, and retreat participants — managing bookings, reservations, POS transactions, and day-to-day guest communication across Vedic Path's studio, restaurant, and retreat/room offerings.
Key Responsibilities
- Manage bookings and reservations using Google Calendar (master calendar, channel-coded event format) per existing SOP
- Operate the offline POS system for restaurant/studio transactions and generate daily shift CSV report
- Handle guest check-in/check-out for room guests, retreats, and YTTC participants
- Respond to inquiries via WhatsApp, Instagram DM, email, and walk-ins (often across languages — English + Bahasa Indonesia minimum)
- Coordinate with kitchen/restaurant team on thali menu service and dietary requests
- Maintain reservation tracker and flag conflicts or overbookings
- Distribute waivers, guest welcome booklets, and program documents to relevant guests
- Support retreat/YTTC logistics (schedules, room assignments, participant lists)
- Basic cash handling and end-of-day reconciliation with POS reports
- Maintain a warm, calm, hospitality-oriented front-desk presence consistent with Vedic Path's non-personality-driven, collective ethos
Qualifications:
- Prior experience in hospitality, hotel/villa front desk, spa, or wellness center reception preferred
- Fluent in Bahasa Indonesia and conversational-to-fluent English (written and spoken); Balinese a plus
- Comfortable with basic POS/computer systems, Google Calendar, spreadsheets (Excel/Sheets)
- Strong communication and organizational skills; detail-oriented with bookings and payments
- Friendly, service-minded demeanor; able to handle a mix of local and international guests
- Able to work weekends/holidays (studio and retreat operations run on guest schedules, not standard business hours)
- Interest in or familiarity with yoga, yogic philosophy, Ayurveda, or wellness spaces is a strong plus, though not mandatory
- Discretion and professionalism handling guest data, waivers, and legal documents
Nice-to-have
- Experience with retreat or program coordination
- Basic bookkeeping/reconciliation familiarity
- Social media responsiveness (Instagram DMs, inquiries)
