The Facility & Expansion Executive is responsible for supporting the company’s expansion projects, facility maintenance, and fit-out processes to ensure all centres and offices are operational, well-maintained, cost-efficient, and aligned with company standards. This role also handles project budgeting, vendor coordination, site inspections, and preparation of Bill of Quantity (BoQ) for renovation and expansion projects.
Job Description:
Expansion & Project Coordination
- Coordinate new centre opening, renovation, relocation, and fit-out projects.
- Conduct site visits and site feasibility assessments for potential new locations.
- Monitor project timelines and ensure projects are completed on schedule.
- Coordinate with contractors, vendors, landlords, and internal stakeholders during project execution.
- Ensure all project works comply with company standards, safety regulations, and operational requirements.
- Prepare project progress reports and documentation.
Facility Management
- Monitor and maintain facilities, equipment, utilities, and infrastructure across centres/offices.
- Handle maintenance requests and coordinate repair or preventive maintenance activities.
- Ensure facilities are safe, clean, functional, and well-maintained.
- Monitor facility operational costs and recommend cost-efficient solutions.
- Maintain asset and maintenance records.
Bill of Quantity (BoQ) & Budgeting
- Prepare and review Bill of Quantity (BoQ) for fit-out, renovation, maintenance, and expansion projects.
- Estimate project costs including materials, labor, furniture, and operational requirements.
- Compare vendor quotations and conduct cost analysis.
- Monitor project expenses to ensure alignment with approved budgets.
- Assist in procurement planning and purchasing coordination related to projects and facilities.
Vendor & Contractor Management
- Source and evaluate vendors, contractors, and suppliers.
- Negotiate pricing, timelines, and service agreements.
- Monitor vendor performance and ensure work quality meets company standards.
- Manage project documentation including quotations, invoices, contracts, and permits.
Compliance & Administration
- Ensure all facilities and projects comply with company policies and local regulations.
- Assist in handling permits, licenses, and operational documentation related to expansion projects.
- Maintain proper filing and documentation for all facility and project-related matters.
Qualifications:
- Bachelor’s degree in Engineering, Construction Management, or related field.
- Minimum 1–3 years of experience in facility management, expansion, fit-out, or project coordination.
- Experience in preparing BoQ and project budgeting is preferred.
- Familiar with construction materials, renovation processes, and maintenance systems.
- Strong negotiation and vendor management skills.
- Able to read technical drawings/layouts is a plus.
- Good communication, coordination, and problem-solving skills.
- Proficient in Microsoft Office and Google Workspace.
- Willing to travel for site visits and project monitoring.
