What You Will Contribute:
As an Executive Secretary, you will play a key role in supporting the Director and coordinating daily office operations. This position requires strong organizational skills, professionalism, and the ability to work closely with internal teams, clients, and external stakeholders. You will be responsible for managing schedules, facilitating communication, coordinating administrative activities, and ensuring the efficient execution of business operations in a fast-paced hospitality consulting environment.
What You Will Do:
- Provide direct administrative and executive support to the Director.
- Manage the Director’s calendar, appointments, meetings, and travel arrangements.
- Coordinate communication between the Director, internal teams, clients, and business partners.
- Prepare reports, presentations, meeting materials, business documents, and other documents.
- Attend meetings or business appointments together with the Director when required, record meeting minutes, and ensure timely follow-up on action items.
- Monitor and track tasks, deadlines, and projects assigned by the Director.
- Maintain confidentiality of business information, documents, and discussions
- Organize and maintain digital and physical filing systems
- Coordinate office operations and ensure administrative processes run efficiently.
- Support event coordination, recruitment activities, and operational administration when needed
- Perform other tasks and responsibilities assigned directly by the Director
Who We’re Looking For:
- Bachelor’s degree in Business Administration, Hospitality, Communications, or related field
- Minimum 1–2 years of experience as Personal Assistant, Executive Assistant, Secretary, or similar role
- Experience in hospitality, consulting, or service industries is an advantage
- Strong organizational, multitasking, and time management skills
- Excellent communication and interpersonal skills
- Professional appearance and attitude
- High level of discretion and ability to handle confidential information
- Fluent in Bahasa Indonesia and good English communication skills, both written and spoken
- Proficient in Microsoft Office, Google Workspace, and administrative tools
- Highly adaptable, proactive, and able to work in a dynamic environment with high mobility
- Willing to travel and accompany the Director for meetings, client visits, and operational activities when required
