About the Role
We are looking for a highly organized, proactive, and trustworthy Executive Assistant to support our Director in Bali.
This role combines executive support, personal assistance, coordination, administration, and project follow-up. The successful candidate will work closely with the Director and assist with both business-related and selected personal matters to ensure smooth day-to-day operations.
The position is based in Bali and requires someone who is flexible, resourceful, and comfortable working in a fast-paced international environment.
Key Responsibilities
Executive Support
- Manage calendars, appointments, meetings, and schedules.
- Coordinate travel arrangements, accommodations, and transportation.
- Prepare meeting notes, reports, and follow-up actions.
- Support communication with internal and external stakeholders.
Personal Assistance
- Assist with personal appointments and scheduling.
- Coordinate purchases, deliveries, reservations, and service providers.
- Manage selected personal administrative matters.
- Support the organization of private events and family-related arrangements when required.
Property & Villa Coordination
- Liaise with contractors, electricians, plumbers, landscapers, and other service providers.
- Obtain quotations and compare vendors.
- Monitor ongoing maintenance projects and report progress.
Administration & Coordination
- Handle documentation and filing.
- Coordinate with consultants, suppliers, and local authorities when required.
- Follow up on invoices, payments, and service agreements.
- Assist with operational and organizational tasks assigned by management.
Event & Lifestyle Support
- Support wellness, fitness, and lifestyle-related scheduling.
- Coordinate bookings, appointments, and external service providers.
- Assist with travel, events, and hospitality arrangements.
Requirements
- Minimum 2 years experience as an Executive Assistant, Personal Assistant, Office Manager, or similar role.
- Excellent organizational and time-management skills.
- Strong communication skills in English.
- Ability to work independently and solve problems proactively.
- Comfortable coordinating multiple stakeholders simultaneously.
- High level of discretion and confidentiality.
- Based in Bali or willing to relocate to Bali.
