About the Role
Aspire Consulting Services is looking for an Event Projects Executive to manage and execute client events and collaborative events from planning through completion.
The role focuses on turning approved client event concepts into professionally planned and executed events. The Event Projects Executive will coordinate directly with clients, venues, vendors, speakers, hosts, production teams, and Aspire's internal departments.
This is not primarily a sales or commercial position. The main responsibility is event project management, coordination, production, and execution.
Key Responsibilities
Receive and understand client event briefs and requirements.
Prepare event plans, timelines, production schedules, rundowns, and execution checklists.
Coordinate directly with clients regarding event scope, requirements, responsibilities, and deadlines.
Source and coordinate venues, vendors, production suppliers, catering, equipment, decoration, and other event requirements.
Prepare event budgets and monitor approved expenses.
Coordinate speakers, hosts, moderators, performers, vendors, and supporting teams.
Manage registration, guest flow, venue setup, and event-day operations.
Conduct venue checks and ensure all event requirements are ready before execution.
Act as the operational PIC during client and collaboration events.
Handle operational issues and coordinate solutions quickly and professionally.
Maintain complete event documentation and vendor records.
Prepare post-event reports covering attendance, budget realization, issues, feedback, and recommendations.
Coordinate with Aspire's Commercial, Administration, Client Advisory, and Management teams when required.
Maintain professional communication with clients, partners, venues, and vendors.
Qualifications
Female, maximum 28 years old.
Minimum Diploma or Bachelor's Degree in Event Management, Hospitality, Communication, Business, Marketing, Public Relations, or another relevant field.
Experience in event organizing, event production, corporate events, hospitality events, conferences, exhibitions, activations, community events, or related activities is preferred.
Strong project coordination and organizational skills.
Able to manage multiple deadlines, vendors, and stakeholders.
Comfortable communicating directly with clients and external partners.
Good problem-solving skills, particularly during event execution.
Able to prepare event timelines, rundowns, checklists, and basic budgets.
Good written and spoken English and Bahasa Indonesia.
Comfortable using Google Workspace and common office/project-management tools.
Willing to work outside normal office hours when required for scheduled events.
Able to work on-site in Bali and travel to event locations when required.
Personal laptop and reliable transportation are preferred.
Working Arrangement
Normal working hours are:
10:00–19:00 WITA
As this is an event-based role, the candidate must be flexible when client events require preparation or execution outside normal office hours.
Probation & Compensation
The selected candidate will initially undergo a probation period of up to 3 months, subject to Aspire's assessment and applicable employment arrangement.
During probation:
Monthly Salary: IDR 3,000,000
Performance during the assessment period will be reviewed based on attendance, discipline, communication, event coordination, execution quality, reporting, responsibility, and achievement of assigned KPIs.
Following successful completion of the assessment period, compensation and career level may be reviewed based on the employee's confirmed role level, relevant verified education, relevant verified experience, responsibilities, and performance.

Performance will include measurable standards such as:
Minimum 95% of event milestones completed on schedule.
100% production checklist completion before event execution.
Maximum 5% budget variance from approved budget unless approved otherwise.
Zero preventable critical production failures.
100% event documentation completeness.
Post-event report submitted maximum H+2.
Client satisfaction target of at least 85%.
Professional and timely communication with clients, vendors, and internal teams.
