Job Description:
- Assist the Operations Director in daily operational, administrative, and coordination tasks.
- Support follow-up with internal teams, vendors, suppliers, and other related parties to ensure operational matters run smoothly.
- Prepare, organize, and maintain documents, reports, schedules, meeting notes, and other operational records.
- Monitor task progress, deadlines, and pending matters, and provide regular updates to the Operations Director.
- Coordinate meetings, appointments, travel arrangements, and other business-related activities when needed.
- Assist in preparing operational reports, data recap, purchase/order tracking, and other supporting documents.
- Communicate with different departments to ensure instructions, requests, and follow-ups are properly delivered and completed.
- Handle confidential information and company documents with professionalism and discretion.
- Support ad hoc tasks assigned by the Operations Director related to business operations and administration.
Requirements:
- Bachelor’s degree in Business Administration, Management, Secretary, or related field is preferred.
- Minimum 1–3 years of experience as Personal Assistant, Executive Assistant, Operations Assistant, Admin Assistant, or similar role.
- Good administrative, coordination, and follow-up skills.
- Proficient in Microsoft Office / Google Workspace, especially Excel, Word, PowerPoint, Google Sheets, and Google Docs.
- Able to prepare reports, organize documents, manage schedules, and keep track of multiple tasks.
- Good communication skills, both written and verbal.
- Detail-oriented, organized, proactive, and able to work with deadlines.
- Able to work independently and coordinate with different teams.
- Has good problem-solving skills and willingness to support operational matters hands-on.
- Good English communication skills, both written and verbal.
- Mandarin proficiency is a plus.
