Admin (Full-Time) By Design Works
Location: West Surabaya, Citraland
Schedule: Monday-Friday in-office, Saturday WFH
By Design is looking for an Admin to join our Surabaya team. This role handles the day-to-day administrative backbone of our projects, documentation, invoices, permits, and coordination between our design, site, and management teams.
Requirements
- Diploma or Degree in Administration, Business, or a related field
- Comfortable working with numbers and spreadsheets, especially Excel
- Organized and detail-oriented, able to track multiple deadlines without things slipping through the cracks
- Able to communicate in English, spoken and written doesn't need to be fluent, but comfortable enough to write simple updates and hold a basic conversation in working field
- Proactive with follow-ups, comfortable flagging issues early rather than waiting
Responsibilities
- Manage office expense reports, staff reimbursements, and contractor invoices
- Track project permits and warranty logs, following up on pending documents before deadlines
- Keep project files and records organized and up to date
- Send daily reminders and follow-ups to management on pending tasks and approvals
- Support basic HR admin, attendance, leave records, onboarding documents
- Coordinate with designers, site teams, and contractors on day-to-day admin matters
