Accounting Operations Assistant

Role Objective :

We are seeking a highly organized Accounting Operations Assistant to provide dedicated, operational accounting support for a select portfolio of 1-3 key clients. Operating in a hybrid capacity between our central office and client sites, this role is critical for ensuring data accuracy, executing routine financial administration, and acting as a frontline safeguard for client cost control and asset verification.

Key Responsibilities :

1. Data Collection & Clarification: Proactively gather financial documents, receipts, and invoices from clients, communicating directly to clarify any missing information or discrepancies.

2. Data Vouching & Cost Control: Execute rigorous 3-way matching procedures (Purchase Order, Receiving Report, and Vendor Invoice). Actively monitor transactions to identify pricing inaccuracies, procedural errors, and flag potential fraud, ensuring strict adherence to client cost control policies.

3. Physical Verification (Opname): Plan and conduct regular physical stocktakes and verifications of petty cash, inventory, and fixed assets directly at client premises, reconciling physical counts against recorded ledger balances.

4. Reconciliation & Processing: Perform routine bank, supplier, and intercompany reconciliations to maintain ledger accuracy and resolve discrepancies promptly.

5. Data Entry: Accurately and efficiently input daily financial transactions, journal entries, and operational data into the designated accounting systems.

6. Reporting: Prepare, format, and distribute standardized daily and weekly operational reports to both internal stakeholders and client management.

7. Dedicated Client Engagement: Maintain a highly responsive and integrated working relationship with the assigned clients, managing routine administrative inquiries and serving as the primary point of contact for daily operational accounting matters.

Job Specifications & Qualifications :

- Education: Minimum Diploma (D3) or Bachelor’s Degree (S1) in Accounting, Finance, Business Administration, or a closely related field.

- Experience: 1–3 years of proven experience in accounting administration, bookkeeping, internal audit support, or financial data entry.

- Technical Skills: Strong proficiency in standard accounting software and spreadsheet applications (e.g., Microsoft Excel, Google Workspace).

- Solid understanding of basic accounting principles, particularly vouching, reconciliation, and physical opname procedures.

- Foundational knowledge of cost control mechanisms and basic anomaly/fraud detection.

Soft Skills :

- High level of integrity, objectivity, and professional ethics.

- Exceptional attention to detail and critical thinking to spot irregularities in repetitive data.

- Professional communication skills suited for direct, frequent client interaction in a hybrid work environment.
