What you'll be doing?
Project Administration Support — Provide comprehensive administrative support to the project team, ensuring smooth day-to-day operations across all stages of a project lifecycle.
Document Management — Transcribe, distribute, and maintain both physical and electronic project files including subcontracts, purchase orders, and correspondence, all in line with company guidelines.
Project Tracking — Maintain and track key project information to keep the team informed, organised, and on schedule.
Subcontractor Coordination — Follow up with subcontractors on essential project paperwork such as claims, certificates, and delivery orders to ensure timely progress.
Project Closeout Support — Assist with closeout coordination and the preparation of Operations & Maintenance manuals to bring projects to a successful conclusion.
Project Documentation Preparation — Work alongside Project Directors and Managers to prepare important documents including cashflow reports, progress claims, insurance records, and project schedules.
Office & Supply Management — Order and manage supplies for the project team and office, while maintaining a neat and well-organised workspace and filing system.
Drawing & Binder Setup — Set up project binders and coordinate the ordering of project drawings from local printing resources.
Punch List Distribution — Assist the project team in preparing and distributing project punch lists to vendors and subcontractors.
Document Archiving — Archive all project documentation in accordance with company and client requirements to ensure compliance and easy retrieval.
Meeting Participation — Participate in project and team meetings as needed, contributing to clear communication across all stakeholders.
Schedule & Logistics Support — Assist with the daily planning of managers' schedules, meetings, interviews, and travel arrangements where required.
Who are they looking for?
Educational Background — A minimum of N/O/A Level qualification or equivalent is required, providing a solid foundation for this role.
Relevant Experience — At least 1 year of experience in a contractor or construction environment.
Attention to Detail — A meticulous approach to work is valued, as accuracy in documentation and record-keeping is central to this role.
Microsoft Office Proficiency — Comfortable working with Microsoft Office applications, which are used regularly for document creation, tracking, and communication.

Salary: $2750 - $3000 + Allowances + OT Paid
