Job Responsibilities
Project & Stakeholder Coordination
Coordinate across project teams and internal stakeholders to consolidate project updates, recommendations, and supporting information.
Act as a focal point to align inputs from multiple functions, ensuring consistency and clarity in project reporting.
Facilitate information flow between teams to support decision‑making and execution.
Governance & Management Support
Support the preparation and coordination of materials for management, committee, and board forums (e.g. PAC (Projects Advisory Committee – GENS Directors), senior management meetings).
Consolidate inputs into structured presentation decks, briefing papers, and reports.
Track decisions, comments, and directives, and coordinate follow‑up actions with relevant owners.
Meetings & Action Tracking
Coordinate meeting agendas, pre‑reads, and post‑meeting documentation where required.
Maintain oversight of action items and follow‑ups arising from meetings, ensuring timely responses and closure.
Liaise with stakeholders to clarify data requests, revisions, and outstanding items.
Documentation & Reporting
Manage compilation, version control, and circulation of project‑related decks and documentation.
Ensure accuracy, consistency, and timeliness of information shared with senior stakeholders.
Support continuous improvement in structure and quality of project documentation.
Job Requirements
Diploma or Degree with relevant experience in project administration, coordination, or management support.
Experience working in a multi‑stakeholder or matrix environment
Exposure to management or governance reporting is preferred
Strong coordination and stakeholder management skills
High attention to detail and information accuracy
Strong organizational and follow‑through capability
Clear written and verbal communication
Ability to manage multiple priorities and deadlines
