Job Description
Reception Support
· Manage multi-line phone systems: screen calls, handle inquiries, and route messages promptly to relevant teams (prioritize business leaders’ availability).
· Greet visitors/vendors warmly; coordinate meeting room bookings, prepare refreshments, and ensure a professional first impression.
· Maintain reception area tidiness; oversee mail/courier flow (track inbound/outbound packages, notify recipients timely).
Admin Support
· Oversee daily office operations, including maintenance of office equipment, and pantry inventory replenishment.
· Provide administrative support to management and other departments.
· Support company events and engagement activities
· Assist directors with travel arrangements (flights, hotels, visas), expense report compilation, and calendar coordination (prioritize urgent requests).
· Any other ad hoc duties as assigned by management.
Requirements:
· Minimum 3 years of relevant experience in office administration (SME or startup experience preferred—used to wearing multiple hats).
· Independent, adaptable, and resourceful
· Good problem-solving skills
· Proficient in Microsoft Office
· Strong communication and organizational skills
· Bilingual in English and Mandarin to effectively communicate with stakeholders
