Job Responsibilities:

Prepare purchasing documents for domestic and overseas suppliers.

Follow up on supplier and shipping documentation to ensure accuracy and avoid delays in customs clearance.

Prepare and verify shipping documents for outbound shipments.

Coordinate with shipping lines, freight forwarders, transporters, and internal warehouse teams to ensure timely delivery.

Liaise with forwarders and relevant parties on customs declaration and clearance matters.

Handle ad-hoc freight inquiries and actively liaise with forwarders to obtain competitive rates and schedules.

Manage and process export charges handling to ensure accurate cost allocation and billing.

Enter 3PL costing into the system accurately and in a timely manner.

Handle documentation required for local deliveries and coordinate domestic transport.

Provide regular and accurate order and shipment status updates to internal stakeholders.

Coordinate with the Finance team on supplier payments, including advance payment arrangements where applicable.

Ensure all deliveries comply with customer requirements, company guidelines, and internal controls (including payment and documentation readiness).

Support ad-hoc operational tasks as assigned, including onboarding support for new staff and stock reconciliation activities.

Proactively manage shipment delays, customs holds, and documentation discrepancies; escalate to relevant stakeholders in a timely manner.

Job Requirements:

Diploma/Degree in Logistics or related field

Minimum 3 years of relevant experience in a similar role within a trading or distribution environment

Hands-on experience coordinating with freight forwarders, carriers, and shipping companies

Skilled in shipment coordination, Incoterms, import/export

Strong communication and stakeholder management

Detail-oriented, analytical, and organised

Proficient in MS Office (Excel, Word, Outlook)

Letter of Credit (LC) knowledge is an advantage
