Job Description

The Proposals Manager supports the Work Dynamics Asia Pacific Proposals team with the coordination and production of proposal responses whilst working with stakeholders across the wider pursuit team (including sales, solution management and pricing leaders). Responsibilities of this role will include:

Proposal Development: work independenltly or alongside more senior members of the proposal management team to support the development of proposals. This includes gathering and organizing proposal materials, such as resumes, project descriptions, and other relevant documentation.

Proposal Coordination: help in coordinating the proposal process. This involves creating and maintaining proposal schedules, setting up the Teams channel for each opportunity, tracking deadlines, and ensuring that all contributors meet their respective deadlines.

Research and Analysis: conducting research on potential clients or projects, including gathering information on industry trends, competitor analysis, and client requirements. This information helps in tailoring proposals to the specific needs of clients.

Proposal Writing and Editing: writing, editing, and proofreading proposal sections or supporting content. This may also include contributing to the development of standard proposal templates and boilerplate content.

Pitch/Presentation Support: either collating or designing PowerPoint slides for client pitches, comfortability using other platform to convert slide decks into interactive materials.

Communication and Collaboration: facilitate communication and collaboration among various teams involved in the proposal process. This includes scheduling meetings, preparing meeting agendas, taking meeting minutes, and following up on action items.

Compliance and Quality Control: Ensure that proposals comply with client requirements, including formatting guidelines, submission instructions, and evaluation criteria.

What this job involves…

Partnering with key Work Dynamics stakeholders (business lines, service lines, account teams, pursuit teams and SME’s) through the bid process to execute on strategic sales opportunities which include but not limited to prospecting, RFI, RFP, presentation and contracting

You will be working closely across different teams; the ideal skillset involves a mix of:

Team player and adept at working to challenging deadlines

Very innovative and have creative thinking to enable you to design winning opportunity strategies and associated collateral

Deep knowledge of key MS office products

Team player with good coordination – time and people management are essential

Create bid strategies, including the identification, capture and development of win themes

Champion proposal best practice

Understand competitive landscape and seek to positively differentiate bid offer

Ensure alignment to internal processes and obtain approvals in timely manner

Submit consistently high quality, customer focused tender responses within allocated time frame

Coordinate internal and independent reviews in line with bid programme

Monitor continuous improvement and development opportunities

Either personally own or work with creative teams to enhance visual impact of tender responses / presentations

What are the key responsibilities associated with this job?

Coordinate the development of clear, articulate, and winning value propositions for proposal and presentation to our prospective clients.

Partner with sales leaders, functional/technical subject matter experts and marketing to put forth a tailored, competitive solution for each qualified prospective client.

Work closely with the Sales Lead, Pricing Manager, other Solution & Proposal team members to create, articulate and sell differentiated solutions

Participate and engage Proposal Management peers across the globe to ensure that there is an ongoing exchange of solutions best practices across the business. 

Ability to question and probe proposed solutions to further refine client offerings

What are the key skills required for this job?

Bachelor’s Degree with at least 2-3 years of experience in Solution Development, Bid Management and/or Real Estate industries

Ability to communicate effectively (written and verbal), coupled with strong influencing skills

What level of exposure do you currently have to the bid process?  With your experiences in solutioning and/or bid management, you will instinctively take control of all aspects of the process. Included in this will be proposal development, bid clarifications and presentations. 

Proposal Development

How do you develop a proposal?  In this role, you will be responsible for the creation of bespoke and innovative strategies and value propositions.  Building the proposal will need you to coordinate with key internal stakeholders and subject matter experts to ensure accuracy around content and pricing. Your strong proposal writing skills will be essential when having to build creative and engaging presentations. 

Having worked within a Corporate Real Estate environment, you will have experience of strategic sales, business development and internal relationship management.  You will have worked with and influenced corporate decision makers in the management and deployment of their property portfolio.  Your Corporate Real Estate expertise would have been gained from within a facilities, projects or transaction environment. 

Key Influencer & Collaborator

As a collaboration champion, you will need to be very well received internally, too.  Your influencing skills will have helped you navigate and succeed in similar matrix organisations.  You thrive on bringing teams together to build bespoke and customised solutions for our clients.
