Key Responsibilities:
- Contribute to business process development and improvement on P&C administrative works.
- Provide technical assistance for manager in new staff or Daily Worker administration process
- Provide document completeness to enable smooth onboarding experiences.
- Offer guidance to staff on contract and administrative matters to build awareness and compliance.
- Provide administrative assistance for the smooth running of the P&C processes and activities in the office.
- Perform assigned roles in P&C system for contract including for Daily Worker, extensions, personnel actions, attend to leave administration, and other related documentation.
- Maintain orderly personnel files of staff and other documents in the P&C Department (electronic and/or hard copies).
- Assist in the drafting and formatting of P&C letters, notes and other P&C-related certifications and correspondence as directed
- Ensure accuracy and timeliness in contract administration and candidate’s documentation.
- Maintain and audit personnel files and ensure adherence to legal and organizational requirements.
- Handle core P&C administrative compliance including BPJS and other non-core document processing.
- Liaise with external parties such as government bodies e.g. Department of Manpower for contract or documentation requirements.
- Coordinate with internal P&C units and hiring managers for shared processes.
- Develop and manage annual performance agreement
- Submits periodical/ monthly accomplishment report
- Build and maintain positive spirit of working in team with other staff in respective unit and department
- Provide Christian value and support to enrich the organization's life, faith, Christian commitments and ministry to the disadvantaged children and communities we seek to serve.
- Be a role model and inspiration in managing work, communication and relationship with internal staff and external parties.
- Manage all risks related to P&C matters according to organization policies, guidelines, and standard. This includes risks in fraud, safeguarding, and other related risks.
- 1/2/3-year Diploma degree, preferably three-year program in administrative major.
- Experience with international humanitarian organizations, non-government or government institutions/organizations is an advantage.
- Experience with P&C systems for data management & legal documentation
- Experience with P&C administrative legal documentation, and business process.
