About the Role
We are seeking a reliable, organised, and patient-focused Clinic Coordinator / Healthcare Assistant to support the daily operations of our multidisciplinary healthcare clinics. This role combines front desk responsibilities with clinic operational support and is ideal for someone who enjoys interacting with people while helping to keep a busy healthcare clinic running smoothly.
The successful candidate will work closely with chiropractors, physiotherapists, and administrative staff to provide an excellent patient experience while ensuring clinic operations are maintained to a high standard.
Key Responsibilities
Front Desk & Patient Care
• Welcome patients and visitors in a professional and friendly manner.
• Assist with patient check-ins, appointment scheduling, and patient enquiries.
• Handle phone calls, WhatsApp messages, emails, and online booking requests.
• Confirm appointments, follow up on missed appointments, and assist with patient communication.
• Process payments, issue receipts, and support daily financial reconciliation.
• Maintain accurate patient records and ensure documentation is completed appropriately.
• Support insurance claims, direct billing, medical reports, and general healthcare administration.
• Coordinate practitioner schedules and assist with daily clinic workflow.
Clinic Operations
• Prepare treatment rooms between patient appointments.
• Clean and sanitise treatment tables, equipment, and treatment areas.
• Assist with laundry, linen changes, and restocking of clinic supplies.
• Monitor inventory levels and assist with stock management.
• Ensure waiting areas, consultation rooms, and treatment rooms remain clean, organised, and professional.
• Assist practitioners with treatment room preparation and equipment setup.
• Support healthcare screenings, corporate wellness events, and community health initiatives when required.
• Assist with clinic opening and closing procedures.
• Support the team with general administrative and operational duties as required.
Requirements
• Friendly, professional, and patient-centred attitude.
• Strong communication and interpersonal skills.
• Excellent organisational skills and attention to detail.
• Comfortable interacting with patients in person, over the phone, and through digital communication platforms.
• Ability to multitask and work efficiently in a fast-paced healthcare environment.
• Reliable, proactive, and able to work independently.
• Basic computer proficiency and willingness to learn clinic management software.
• Previous experience in a healthcare clinic, dental clinic, physiotherapy clinic, chiropractic clinic, specialist practice, medical centre, hospitality, customer service, or administrative role is preferred.
• Previous front desk or patient-facing experience is advantageous.
Schedule
• 5 days per week.
• Weekend availability is required.
• Candidates available for both Saturday and Sunday shifts will be viewed favourably.
• Ability to work across both clinic locations when required.
