As our business continues to expand, we are looking for a highly capable Assistant Manager (Mandarin Speaker) to act as the Director’s right hand in supporting daily business operations, coordination, and strategic execution across departments.
This is not a conventional administrative assistant role. The position requires strong business awareness, operational coordination, problem-solving ability, and the capability to handle multi-department responsibilities in a fast-paced working environment.
Key Responsibilities
Business & Director Support
Assist Director in daily business operations and management coordination
Act as communication bridge between Director and internal/external parties
Accompany Director for meetings, business trips, and external coordination when required
Prepare reports, presentations, meeting summaries, and operational documentation
Follow up and ensure execution of tasks assigned by Director across departments
Handle confidential business information professionally
Cross-Department Coordination
Coordinate and monitor workflow between departments including Sales, Warehouse, Purchasing, Finance, HRGA, and Operations
Ensure operational activities and company processes run smoothly
Assist in supervising daily operational execution and task progress
Support problem-solving and operational improvement initiatives
Monitor timelines, pending matters, and department follow-ups
Legal, Compliance & Regulatory Coordination
Assist in coordinating company permits, legal documents, contracts, and licensing matters
Support follow-up related to Indonesian business regulations and operational compliance
Coordinate with external parties regarding tax, BPJS, import documentation, and company administration matters
Review and organize operational and legal-related documentation
Sales & Business Operations Support
Support sales coordination, customer follow-up, and project monitoring
Assist in handling supplier, client, and partner communication
Participate in business discussions and negotiations when required
Support showroom, warehouse, and operational activities when needed
Requirements
Bachelor’s degree in Business, Management, Law, Accounting, International Business, or related field
Minimum 3–5 years of experience in Assistant Manager, Executive Assistant, Business Operations, Management, or related roles
Fluent in Mandarin (spoken & written) - mandatory*
Good English communication skills
Strong communication, coordination, and problem-solving skills
Strong sense of responsibility, initiative, and confidentiality
Able to work independently and handle multiple responsibilities
Familiar with Indonesian business regulations and operational processes
Willing to handle both office-based and operational coordination tasks
Willing to travel for business trips if required
Able to work in a fast-paced and dynamic environment
Preferred Qualifications
Experience working directly with Director or management level
Experience in import, warehouse, retail, building materials, or manufacturing industry is preferred
Possess leadership and operational coordination capability
Candidates with strong execution and follow-up ability will be prioritized
