Position Overview
We are looking for a reliable and detail-oriented Administrative Assistant to support our daily office operations in Singapore. In addition to handling general administrative tasks, this role will also assist with basic HR and recruitment responsibilities, including resume screening, conducting initial interviews, and communicating interview results to candidates.
This position is ideal for someone who is organized, communicative, proactive, and comfortable working in a fast-paced environment.
Key Responsibilities
Administrative Support
Handle daily office administrative tasks and ensure smooth office operations
Manage schedules, meeting arrangements, and office coordination
Prepare documents, reports, and internal records
Assist with procurement of office supplies and vendor coordination
Maintain filing systems and organize company documents
Support communication between departments when necessary
Assist management with ad hoc administrative tasks
HR & Recruitment Support
Screen resumes and shortlist suitable candidates
Conduct initial interviews and candidate assessments
Coordinate interview schedules with candidates and hiring managers
Communicate interview results and follow-up updates to candidates
Maintain recruitment records and candidate databases
Support onboarding arrangements for new hires
Assist with basic HR administrative duties and employee documentation
Requirements
Diploma or Bachelor’s degree in Business Administration, Human Resources, or related fields preferred
Prior experience in administration, HR, recruitment, or customer support is a plus
Strong communication and interpersonal skills
Good organizational and multitasking abilities
Comfortable conducting interviews and communicating with candidates
Detail-oriented, responsible, and proactive
Proficient in Microsoft Office / Google Workspace
Able to work independently and collaboratively in a team environment
Preferred Qualifications
Experience in recruitment coordination or talent acquisition
Familiarity with hiring platforms and scheduling tools
Ability to communicate in both English and Chinese is an advantage
