Summary:
Working Location - Jurong East
The Executive, Admin (DSLS) will oversee the administration and operations of the Development Support and Learning Support (DSLS) programme.
JOB SCOPE/KEY RESPONSIBILITIES
Administration
- Assist the Programme Manager and key staff in overseeing administration and ensuring smooth programme operations.
- Manage programme administration in areas such as database and financial management with accuracy.
- Ensure timely and accurate reporting of yearly reports and musters to internal and external stakeholders.
- Respond to stakeholder queries on administrative processes via email, phone, or meetings.
- Prepare or assist with scheduled and ad‑hoc reports related to the programme.
- Support the implementation and periodic review of operational policies, procedures, and SOPs as needed.
- Provide programme information (e.g., policies and procedures) to new staff, interns, and volunteers.
Supervision
- Guide the Administrative Assistant to ensure smooth programme operations.
- Provide coverage for the Administrative Assistant’s duties when required, ensuring uninterrupted operations across Children Services programmes.
Stakeholder Engagement
- Interact with stakeholders, including caregivers, face‑to‑face, by phone, and through email, managing each case in the best interests of the programme and client. Ensure caregiver/client information is updated in relevant databases.
- Understand stakeholder needs, provide relevant information, and address queries professionally and warmly.
- Serve as the direct administrative contact and liaise with external institutions such as ECDA, MSF, NCSS, SG Enable, and partners when needed.
- Participate in Quality Improvement (QI) projects and programme workgroups as required.
Professional / Staff Development
- Attend relevant training and courses for professional growth.
- To network with stakeholders and community organisations.
- Participate in SPD events as required.
Any other duties
- Undertake any other duties as assigned by the Programme Manager or Senior Assistant Director, Children Services.
KEY REQUIREMENT
- Degree/Diploma holder or relevant knowledge and at least 2 years’ experience of administrative roles
- Industry relevant IT knowledge
- Excellent interpersonal and communication skills
- Strong analytical and problem-solving skills
- Diligent and organised with ability to multi-task while paying close attention to details and prioritizing to meet deadlines
- Sensitivity to confidential matters may be required.
