Job description for Villa Supervisor Ulluwatu at Balinest Villas
Key Responsibilites:
* Create the WhatApp group with the guest before check-in (Including: guest, concierge team, reservation team, and all group manager)
* Communicate with the guest
* Assist guest with their needs and requests
* Work with your entire team to ensure your help during days off and vis versa
* Handle Check in/Check out with the guests
* Cross check the houesekeeper's checklist before check-in nad go through it with them if necessary
* Go through the villa before check-in to spot anything that still needs fixing/cleaning (including amenities, linen, towels)
* The SPV need to follow alongside inspections and informing cleaning team to do touch up based on the results
* Go trought the villa after check out see if there are any demages (specially bih damages that need to be charged) and coordinate with reservation team to charge the client of any demages
* Informing Reservation team if we can give security deposit back within max 2 hours after check out
* Advise the reservation team if we can ask for review (depending on issues during the guest stay-this controls the narrative of getting less than 5 stars review)
* Ensure we get 5 stars review if there is no problem during the stay of the guests, and make sure you know WHY if we don't / Can't review back the guests
* Managing and Scheduling housekeepers team, requesting and scheduling general cleaning or deep cleaning
* Oversee the housekeeping staff is well-groomed and doing their job properly
* Make sure that the garden and pool are well maintained and that the staff does their job properly
* Make sure your villa's up to standard
* Report any issues at the villa to your manager (e.g. pool turned green, cleanliness standards, AC not working
* Passing the information form inspections to manager
* For petty cash purpose, you ALWAYS need to have a reciept to prove your spendings.
Qualifications:
* Minimum 2–3 years of experience in Villa Management, Hospitality, or Operations (experience as Villa Supervisor or Guest Relations)
* Strong leadership, supervisory, and team management skills with a proven track record of training and guiding staff.
* Excellent communication and interpersonal skills in English (both spoken and written) to handle guest issues and coordinate with management/vendors.
* Solid background in villa operations, including housekeeping standards, property maintenance (AC, MEP, pool/water systems), and inventory management.
* Strong organizational, problem-solving, and conflict-resolution abilities, especially in high-pressure or emergency situations.
* Basic financial acumen for handling petty cash management, monthly purchasing, and expense tracking.
* Familiarity with reservation systems, calendar management, and guest communication tools.
* Detail-oriented, proactive, responsible, and capable of working flexibly, including covering shifts or days off for supervisors.
* Located in or willing to be placed in Bali.
