Job description for Reservation OTA at Balimmo Villa Management
Key Responsibilities
- Manage reservations from OTA, direct booking, travel agents, corporate clients, and referrals.
- Ensure all reservation details are accurate, including guest information, dates, villa, rate, payment status, and special requests.
- Manage villa availability, OTA calendars, PMS/Smily, and prevent double booking/overbooking.
- Manage and monitor villa rates and pricing across all OTA platforms according to management strategy.
- Monitor and adjust pricing based on low/high/peak season, weekends, public holidays, Christmas & New Year, minimum stay, last-minute bookings, long stays, and occupancy/demand.
- Monitor dynamic pricing and revenue performance and identify opportunities to optimize rates and occupancy.
- Ensure rate changes are correctly updated across all platforms and conduct regular price and availability cross-checks.
- Manage OTA platforms including Airbnb, Booking.com, Agoda, Traveloka, Tiket.com, website/direct booking, and other channels.
- Handle guest inquiries, messages, cancellations, amendments, and reservation issues professionally.
- Coordinate with Villa Manager, Operations, Housekeeping, Concierge, Maintenance, Transportation, and Finance regarding reservations and guest requirements.
- Monitor payment status, outstanding payments, refunds, cancellation charges, and additional charges.
- Conduct proper shift handover and ensure all important reservation, pricing, and availability information is communicated accurately.
- Prepare regular reports on reservations, occupancy, revenue, booking sources, cancellations, payments, and villa availability.
Requirements
- Minimum 3 years of experience in Reservation, OTA, Revenue Management, Hotel, Villa, or Hospitality.
- Strong understanding of OTA platforms, pricing, rate management, and revenue optimization.
- Good command of English, both written and spoken.
- Experience with PMS/channel manager systems such as Smily is an advantage.
- Strong attention to detail, especially when handling rates and availability.
- Good analytical, organizational, and problem-solving skills.
- Proficient in Microsoft Excel / Google Sheets.
- Responsible, proactive, reliable, and able to work independently or as part of a team.
- Willing to work weekends and public holidays according to operational requirements.
