Job description for Receptionist (Front Desk) at Travel n Leisure (PT Wyndham Hotel Management)
PRIMARY PURPOSE OF THE POSITION:
Receptionist is the first point of contact. Key tasks require you to manage inbound mail, phone calls, messages and visitors to the office. On the phones and in person, your strong verbal and written English language skills will be in high demand on a daily basis. You will prepare and distribute letters and schedules, perform member Welcome Calls, scan & file accounts payable documents. You will use computer systems (Merlin, Word, Excel and others) and office equipment in your daily requirements.
KEY RESPONSIBILITIES:
- Answer and redirect inbound phone calls.
- Receive and distribute or send packages by post or courier to the correct recipients.
- Direct all in-person visitor enquiries to the appropriate AVC contacts.
- Make the daily Welcome Calls to AVC members and guests, escalating issues quickly and following up uncontacted members and guests regularly to maximize feedback.
- Assist with various Novotel Nusa Dua department enquiries and information/docket distribution as required.
- Provide AVC Resort Operations staff with the daily arrival and vacant rooms for their inspection, then update the report at the end of each day.
- Re-confirm expected AVC Asia arrivals daily.
- Scanning AVC Accounts Payable and AHPP paperwork in a timely manner to minimize backlogs.
- Make daily Welcome Letters for arrivals and pass to the Novotel housekeeping team for distribution.
- General operational administration as directed.
