Role Overview
We’re seeking a highly organised, proactive Project Coordinator to serve as the operational engine behind our cross-functional initiatives. You’ll translate strategic goals into actionable plans, eliminate bottlenecks, and ensure seamless execution across teams while maintaining rigorous standards for documentation, compliance, and communication.
Key Responsibilities
- End-to-end project coordination: Assist in planning, tracking, and driving the execution of cross-departmental initiatives from kickoff to closure using Agile or hybrid methodologies.
- Maintain centralised, accurate project documentation including timelines, deliverables, risk logs, and status reports.
- Facilitate clear, consistent communication between teams to resolve blockers, align priorities, and ensure strategic alignment.
- Produce concise, insightful progress updates for leadership and stakeholders.
- Identify workflow inefficiencies and implement data-driven process improvements.
- Ensure full compliance with internal policies, data security protocols, and documentation standards.
- Design and scale reusable project templates, onboarding kits, and operational systems to support growth.
- Act as the primary liaison between teams to ensure smooth handoffs, shared understanding, and consistent messaging.
- Support team onboarding and knowledge transfer by documenting workflows and best practices.
Requirements
- A bachelor’s degree or higher in Management, Business Administration, or a related field.
- Exceptional organisational skills with the ability to manage multiple priorities, deadlines, and stakeholders simultaneously.
- Fluency in English (written and verbal), with exceptional written communication for reports, emails, and documentation.
- Ability to work autonomously across time zones while maintaining responsiveness and reliability.
- Experience working with data privacy and compliance frameworks is a plus.
- A proactive problem-solver who anticipates needs, asks smart questions, and takes ownership of outcomes.
- Expected to travel up to 50% of the time.
- Proficiency in Japanese or Chinese is strongly preferred
